The Administrative Assistant is responsible for supporting the Corporate Risk Management, Privacy & Compliance Officer and the Risk Management, Privacy & Compliance Department, a subset of the Administration Department, through a variety of general clerical duties and special projects.
ESSENTIAL JOB FUNCTIONS:

Coordinates meetings which include scheduling meetings in Outlook calendar, booking conference rooms, and scheduling virtual meetings in WebEx or Zoom.

Assists in office tasks to support the Risk Management, Privacy & Compliance Department, such as filing (physical and/or electronic documents), making photocopies, drafting and sending out letters, word processing or typing/data entry, and preparing and taking meeting minutes.

Assists the department in conducting and documenting compliance audits of internal processes as part of NEMS Compliance Program.

Proofreads and formats documents such as forms and corporate policies and procedures.

Data entry for various department projects such as maintaining the Risk Management Incident Report Log or Go East Medical Services (GEMS) grievance log.

Runs monthly reports, dashboards and charts using Excel for various department meetings.

Updates content on Sharepoint Intranet site as needed. Gathers documents (i.e. policies and procedures) from the Sharepoint Intranet site as needed for external audits.

Performs other job duties as required by manager/supervisor.
QUALIFICATIONS:

Completion of a high school certificate or equivalent.

2+ years’ experience in the administrative field.

Excellent verbal and written communication skills.

Detail oriented and accurate.

Advanced skills in Microsoft Word, Excel, Power Point & Outlook.

Knowledge of medical terminology is a plus.
LANGUAGE:
-
Fluent reading, writing, and speaking in English is required.

Ability to read, write or speak in Chinese (Cantonese or Mandarin) is highly preferred.

Ability to read, write or speak in Vietnamese, Tagalog or Spanish is an asset.

This is a FLSA non-exempt position.
