Northern California Retina Vitreous Associates Medical Group is seeking a vibrant, enthusiastic and organized go-getter to fill our Front Office Specialist position. Our retinal practice is a fast paced, dynamic environment with 41 years of experience. We require people who are flexible, professional and up to the task of having a positive influence and be a team contributor. This is a full-time, 8am to 5pm position for our San Mateo office location (with travel to our Daly City location as needed).
Summary of Responsibilities :
Responsible for all aspects of front desk related tasks such as reception, checking in and checking out patients, ensuring patient information is up to date and accurate, verifying patients benefits at the time of service, collecting patient copays and balances, and other related administrative duties. Position requires accuracy and attention to detail as the work is multitasked and interrupted often. Must be able to communicate effectively and provide high level of customer service to patients, external clients, and team members in other departments.
List of Responsibilities/Duties :
- Print and distribute daily schedules to physicians, technicians, etc.
- Complete patients check in and verify all information is up to date and accurate.
- Collect patient copays and outstanding balances.
- Register new patients and gather all pertinent information from referring providers.
- Confirm patient’s Referring MD and Primary Care Provider are up to date in Athena and MDI.
- Complete patients check out and schedule follow up appointments.
- Monitor and upload incoming faxes. Assign faxes for review by physician or other as required.
- Review daily TOS for accuracy and submit to Chief Accountant.
- Complete rescheduling of patients as needed with Doctor Schedule changes.
- Process emergency new patients seen after hours if applicable to location.
- Verify authorization requirements when physician requests to initiate treatment. during patient visit.
- Update Athena and MDI with authorization requirements.
- Review and complete Pt Tasks assigned to home office.
- Process DMV forms, Disability paperwork, patient letters, and any other patient forms.
- Complete outgoing referrals and ensure patient is scheduled as requested by physician.
- Assist call center with incoming phone calls when required.
- Assist eligibility and authorizations team with insurance verification when required.
- Communicate with Patient Services Specialist, Eligibility & Benefits Specialist, Authorization Specialist, and other teams as needed to ensure everything is in place for patient’s appointment.
- Provide outstanding customer service to patients and develop and maintain positive working relationships with staff from other departments.
- Communicate and work effectively with colleagues from other departments; Respond to email inquiries promptly.
- Follow written and verbal directives from management.
- Assists with other patient service responsibilities as requested.

- Word processing and computer experience required.
Physical Demands :
- Regularly required to use hands to type, handle or feel.
- Ability to sit for long periods of time, with occasional bending.
- Must on occasion lift and/or move up to 20 pounds.
- Must be able to view and enter data into the computer for extended periods.
- Must be able to communicate via the telephone.
- Must have reliable transportation to be able to report to work.

Pay: $23.00 - $26.00 per hour
