Suffolk University is seeking a Human Resources Coordinator & Operations Specialist. This role performs a wide variety of administrative and operational tasks to ensure smooth and efficient day-to-day support of Suffolk’s Human Resources department and programs.
Administrative Responsibilities
- Welcome, support, and direct office visitors while serving as the primary front desk for HR and neighboring departments.
- Manage the Human Resources email inbox, phone, and internal ticket system; tactfully handle inquires independently or triage when appropriate.
- Responsible for general upkeep of the office; create a welcoming atmosphere; monitor inventories and order office supplies.
- Process purchase orders and invoices related to operations expenditures and ensure that charges are processed appropriately.

Schedule meetings, including making room reservations, arranging room set-ups and placing catering orders for meetings or other events.
Operational Responsibilities
- Work closely with the HR Operations and Program Manager to support planning and implementation of the new and ongoing HR programs, policies and procedures.

Maintain office files, records and databases; processing routine correspondence, documents, records, and reports as required.
- Manage employment verifications, employee files requests, and unemployment claims.
- Assist with Human Resources cost center expense; monitor and analysis of budget vs. actuals.

Support and occasionally lead Suffolk’s Onboarding Program; including I-9 verification, New Hire Orientation, and onboarding tracking.
Special Projects and Program Support
- Support and maintain employee engagement projects and programs; including the HR Careers Page, employee appreciation events, and Human Resources correspondences.

Assist in the coordination and completion of special projects as assigned.

Other duties to support HR factions and the University as assigned.
Requirements

High school diploma; College degree preferred.

Minimum of 2-3 years of relevant administrative, operational, and/or coordinator experience required.

Excellent oral, written and interpersonal communication skills

Proficiency in MS Office (Word and Excel primarily) and ability to learn internal software
- Ability to handle highly confidential information with appropriate discretion and sensitivity
