Mission-driven venture firm in the Peninsula that focuses on medical research is looking to hire an Executive Assistant to work side-by-side with a collaborative admin team to support a C-level executive with high-volume scheduling, prepping briefing packets, and complex travel itineraries. Your expertise will contribute to the firm’s efforts to drive value to the shareholders and community.

Responsibilities include
- Manage and schedule meetings across dynamic and constantly shifting calendars in a timely manner.
- Coordinate complex travel logistics and arrangements and create accompanying briefs and highly detailed itineraries.
- Perform administrative tasks to clear up time and bandwidth for Executives.
- Communicate effectively with peers and office staff to maximize team efficiency and maintain positive relationships within the firm.
- Prepare meeting materials, minute-by-minute travel itineraries, and pre-reads for Executives for productive meetings.
- Represent your executive internally and externally through correspondence and other written materials.
- Handle sensitive and confidential information with discretion and care.
- Spearhead various projects, including process and systems improvement, document organization efforts, and high-profile events, as assigned.
Qualifications
- Must reside in the San Francisco Bay Area to be considered.
- 7+ years of EA experience in a dynamic work environment supporting high-profile executives
- Bachelor’s degree a plus, but not required
- Venture capital, family office, or tech industry experience highly preferred
- Strong strategic and creative problem-solving skills
- Poise, professionalism, discretion, and good judgment
- Dedication to providing the highest service possible
- Outstanding abilities in written, verbal, and interpersonal communication.
- Adept at prioritizing and anticipating needs
- Comfortable working independently with minimal supervision
- Detail-oriented with multitasking prowess
Job Type: Full-time
Pay: $160,000.00 - $210,000.00 per year
