Position Title: Medical Spa Coordinator
Position Description: Responsible for providing superior customer service and sales in all aspects of the Medical Spa to ensure that clients receive a memorable and satisfying experience.
This is our preferred starting position for those looking to start a career on the Mara’s Med Spa Team; we encourage and provide excellent career growth potential over the years based on performance all while providing you with the tools and education you need to expand your professional profile.
This position requires full-time + weekend availability on Saturdays and also evenings. Please do not apply if you do not have weekend availability or unable to work afternoons or evenings.

Qualifications:
- High School Diploma
- 1 + year(s) experience in a medical or day spa environment and sales
- Proficient in Microsoft Office (Outlook, Excel, Word) + Gmail
- Experience with day/medical spa software (preferred)
- Flexible full-time availability (Opening & Closing shifts, weekends & holidays)
- Extremely reliable and punctual
- Experience in front office reception
Job Responsibilities:
- Anticipate, identify and ensure patient needs are being met in a friendly and professional manner while ensuring their complete comfort and satisfaction
- Efficiently and cordially answer phones educating patients on services/products
- Provide thorough and knowledgeable explanations of medical spa and products in order to optimize patient satisfaction and retention
- Schedules and confirms all appointments according to spa protocols in order to ensure smooth and efficient workflow
- Check patients in and out using Zenoti software system while being detail oriented
- Perform sales transactions and daily cash-outs following company protocols to ensure high standard of accuracy
- Responsible for opening and closing the medical spa following standard operating procedures
- Exhibit a professional attitude, diplomacy and an ability to handle difficult situations and fast paced environment
- Maintain a beautiful physical environment in all the areas of the medical spa
- Provide accurate, appropriate and immediate responses to all requests by patients, ensuring complete satisfaction and discusses concerns or problems promptly with management
- Knowledge and understanding of medical spa services and of medical-grade skincare product lines carried (SkinCeuticals, Skinbetter Science, iS Clinical)
- Maintain appropriate communication and good interpersonal skills with management, team members and patients to ensure coordinated efforts and provision of high quality service and patient satisfaction
- Provide thorough and knowledgeable explanation of all procedures and services in order to maximize each sale and optimize schedule for appointments
- Perform tours to visitors with explanation of all procedures and services, including retail, offered with goal to acquire sale of service appointment and promote retail sales
- Exhibit a professional attitude, diplomacy and an ability to handle difficult situations in a timely manner
- Participate in general team meetings, planned seminars/events and/or educational trainings as scheduled
- Contact and follow up on new potential patients (Lead calling, texting and emailing)
- Schedule consultations and services for patients (by phone call, texting & emailing)
- Meet daily and monthly KPIs
- Maintain a polished and professional personal image
