GENERAL AFFAIRS (GA) & ADMINISTRATIVE ASSISTANCE
· Ensure up-to-date company and business license records.
· Maintain company property records.
· Maintain company policies.
· Manage and direct incoming phone calls effectively.
· Organize, maintain, and update file systems, ensuring accurate documentation.
· Conduct necessary research and prepare requested data files.
· Coordinate meetings, including agenda preparation, facility reservation, and transcription of meeting minutes.
· Handle outgoing mail and correspondence, including emails and faxes.
· Oversee supply ordering and equipment maintenance.
· Verify invoice accuracy and confirm receipt of orders.
· Publish internal information via company intranet.
· Arrange travel schedules, reservations, accommodation, and shuttle services for staff and guests.
· Perform various errands as necessary, including mail drop-off and FedEx package sending.
OTHER & MISCELLANEOUS
· Execute any additional tasks as directed by the HR/GA Manager.
· Undertake special projects and other assorted responsibilities as designated by leadership.
· Pursue continuous improvement, striving for efficiency and cost-effectiveness in all work processes.
· Adhere to the highest ethical standards in the workplace.
· Report any irregularities or challenges to supervisors promptly for effective resolution.
· Maintain effective communication with management, colleagues, and external stakeholders.
· Ensure strict compliance with all company policies and procedures.
· Ensure a clean, safe, and conducive work environment is always maintained.

Qualifications
Education & Work Experience
· Associate or bachelor’s degree in administration or business or a related field.
· 1-2+ years’ experience in an office support or administrative role is ideal.
· Proficiency in MS Excel, PowerPoint, and Word.
· English & Japanese (Japanese Not mandatory).
Tools & Equipment
· General office equipment including phones, fax, copier, personal computer, etc.
· Software includes the use of Windows operating system, MS Office.
· Any tools, equipment, software that are required to be used.
Certificates / Licenses
· Any certificate or training records are required by each department, position/title, or government agency.
