Responsibilities and Duties
· Enhance and maintain the company culture by working and demonstrating the company’s core values
· Provide administrative support and help maintain an efficient office environment
· Open, close, and organize the office and the fingerprint room
· Handle incoming calls and other communications
· Greet and assist clients and care providers in person and/or over the phone
· Monitor office equipment and supplies and place monthly orders as needed
· Direct incoming mail and process outgoing mail in a timely manner
· Update client and care provider records in our database, ensuring accuracy and validity of information
· Schedule EOR fingerprint appointments and conduct fingerprinting for new care providers
· Review completed livescan forms for accuracy
· Complete the welcome call and conduct intakes for Agency Respite families in a timely manner
· Send Agency Respite families the parent policies via DocuSign
· Track and collect the parent policies and upload them to the client’s file
· Coordinate and schedule Service Liaisons for Parent Orientations
· Conduct check-in calls with Agency Respite families that are waiting for services
· Follow up with Agency Respite families to update the client’s status/respite needs as needed
· Conduct 30-day check in calls with Agency Respite families
· Send 60-day and 90-day check in surveys to Agency Respite families
· Notify Agency Respite families of any changes to their services if the POS is expiring
· Generate Sibling Care and Additional Hours private agreements via DocuSign
· Update the Placement Manager of any issues/concerns the Agency Respite family or Agency Care Provider reports
· Maintain confidentiality of our clients and care providers in compliance with HIPAA
· Assist and support with Agency Care Provider appreciation events
· Attend quarterly staff meetings
· Attend monthly department meetings
· Perform other job-related duties as assigned
Qualifications
· High School Diploma with 1+ years of experience
· Strong computer skills, i.e., navigating between different programs and network
· Excellent written and verbal communication skills
· Data entry experience
· Must be computer savvy and proficient in Microsoft Word, Excel, and Outlook
· Bilingual in Spanish/English is mandatory

Prolonged periods sitting at a desk and working on a computer
