As we continue to expand our operations, we are seeking a dedicated Inspections Scheduler to join our team and play a vital role in coordinating and managing our inspection processes.
Position Overview: As an coordinating assistant your main tasks will be responsible for efficiently coordinating and scheduling plumbing inspections and permits to ensure compliance with regulatory requirements and company standards. You will work closely with our team of plumbers, clients, and regulatory authorities to facilitate timely and accurate inspections, maintaining a smooth workflow and excellent customer service throughout the process. The other main task will be the us of Quickbooks to create invoices and estimates.
Key Responsibilities:
- Schedule and coordinate plumbing inspections in accordance with regulatory requirements and company policies.
- Communicate effectively with clients, inspectors, and internal team members to arrange inspection appointments and provide necessary information.
- Maintain accurate records of inspection schedules, appointments, and outcomes using our scheduling software or CRM system.
- Monitor inspection progress and proactively address any scheduling conflicts or issues to ensure timely completion.
- Collaborate with the operations team to optimize scheduling efficiency and resource allocation.
- Provide exceptional customer service by promptly responding to inquiries and resolving scheduling-related concerns.
- Stay updated on relevant regulations, codes, and industry standards to ensure compliance in scheduling and coordinating inspections.
Qualifications:
- Previous experience in scheduling, coordination, or administrative roles preferred.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, inspectors, and team members.
- Proficiency in using scheduling software (Bolt) or CRM systems preferred.
- Detail-oriented with a high level of accuracy in record-keeping and data entry.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of plumbing regulations and codes is a plus but not required.
- Spanish is a plus but not required.
