Virginia Neurosurgeons is a busy, well-established neurosurgical practice based in Arlington, VA since 2001. We have an immediate opening for a Surgical Coordinator / O.R. Scheduler for three neurosurgeons in the Northern Virginia / Metropolitan Washington, DC. area
Position:
The Surgical Scheduler acts as a liaison between the physician, patient, and hospital. They manage all logistical details for services, have direct contact with patients, obtain prior authorizations, and distribute the surgery paperwork via email, fax, and regular mail. The ideal candidate will be detailed-oriented with excellent computer, multi-tasking, and critical thinking skills.

Responsibilities include but are not limited to:
- Receives and processes requests for surgical procedures and coordinates with physicians.
- Schedules and coordinates patients’ surgeries, clinic appointments, and assists in scheduling diagnostic studies per physician orders.
- Verifies Insurance coverage and requests, tracks, and obtains pre-authorizations from insurance carriers for surgical procedures.
- Reviews patient medication and health history to determine pre-admission testing requirements and assists in scheduling appropriate medical and cardiac clearances.
- Acts as a communication link, arranges patient tests, enters diagnostic requisitions, and receives results.
- Demonstrates and applies knowledge of medical terminology and general medical office procedures, including HIPAA regulations.
- Manages all administrative tasks related to surgery, including managing incoming and outgoing phone calls and emails.
- Clearly documents all communications and contacts with providers and personnel documentation requirements using proper format(s), maintains accurate record-keeping and filing.
- Communicates with patients to ensure adequate preparation for surgery and address any patient questions or concerns beforehand.
- Ensures all pre-surgery paperwork is completed in time for patients' appointments.
- Works closely with hospitals to coordinate surgical procedures and equipment scheduling.
- Schedules emergency add-on surgeries, considering type of surgical procedure, duration, set-up, and turnaround times.
- Coordinates and follows up on laboratory and imaging tests.
- Develops and updates surgical waitlists, spreadsheets, and schedules using computerized surgical scheduling systems.
- Edits surgical schedule, identify errors or conflicts, and confirms final booking assignments.
- Works with physicians to determine appointment priority and schedules patients using electronic scheduling applications.
- Communicates and collaborates with various departments to ensure smooth scheduling processes.
- Ensures all required documentation is provided and prepare patient charts in accordance with established procedures and guidelines.
- Completes other duties as assigned.
Skills & Qualifications:
- 3 years of current experience working within a surgical practice environment.
- Experience with an Electronic Health Record (EHR).
- Proficiency in MS Office applications, including Word, Excel, and Outlook.
- Current knowledge and experience using medical terminology in a surgical setting.
- Ability to maintain privacy and confidentiality as per organizational guidelines.
- Ability to work well under pressure and use good judgment in assessing difficult situations.
- Ability to produce high-quality, accurate work in accordance with practice and hospital standards.
- Comprehensive knowledge of healthcare, organizational/office practices, procedures, and standards.
- Excellent professional verbal and written communication skills.
- Ability to work effectively in an inter-professional team.
- Excellent organizational and time management skills.
- Proven attendance record.
- Knowledge of neurosurgical medical terminology.
- Experience working in another fast-paced, multi-disciplinary medical environment.
- Knowledge and experience with ICD-10 coding to assist with surgical forms for billing.
- Equivalent combination of education, training, and experience.
Wage: Commensurate with experience and knowledge base.
Work Schedule: This is a full-time position that may require flexibility in working hours based on the needs of the practice.
