Dispatcher
Job purpose
- To organize, coordinate, distribute and execute a schedule of equipment moves and employee assignments
- To direct all truck drivers to their assigned locations and duties on a daily basis
- To answer and direct incoming calls, mail, or other messages
- To be the professional and friendly face of the company to all customers, vendors and guests who visit or call
Duties and responsibilities
Reception
- Answer phones when people call in, and do so in a professional, friendly manner and address or direct the caller’s request to their satisfaction
- Help resolve any customer issues that arise
- Give immediate attention to anyone who walks through the door, and address their needs
- Take down, organize, schedule, and pass on all customer orders
- Assist in any vendor issues that arise or find someone who can resolve said concern
- Obtain and efficiently distribute all mail and relevant paperwork to appropriate parties, including daily trips to the post office and bringing papers across the parking lots at least once daily
- Monitor the front office and always make sure it is either occupied by a G.W. Tatro employee or locked. Visitors should never walk into an empty room
Dispatch
- Create a schedule of all moves of trucks, equipment, material and personnel
- Prioritize the requirements of various project managers as well as the requests of clients and convey said priorities in an expedient way
- Be in contact with all project managers, supervisors, and foreman to ascertain and address their requirements for the following day
- Coordinate the needs of all jobs and allocate necessary resources in a satisfactory manner
- To clearly direct and track all trucks, routes, and manage timelines
- Maintain communication with drivers throughout day as means of support and keeping them apprised of shifting schedules, routes, and assignments
- Screen DOT logs for error. When issues are spotted, they will be reported to the Admin Director
- Professionally communicate with clients to keep them up to date with truck deliveries, timing, and any other pertinent issues
- Be aware of all job site, equipment, and truck locations, and keep track of them
- Monitor weather of all areas where trucks will be transiting, and to inform relevant people of any issues
- Ascertain all, if any, hired truck needs on a daily basis and to acquire said services
- Maintain an equipment map
- Complete all paperwork for the State of Vermont, including USTs, IFTA reporting, etc.
- Help with overweight/oversize permits, and communicate expiration dates of permits
- Maintain DOT logs, pertinent employee drug tests, and organizing new truck driver paperwork
- Perform any additional responsibilities as required by the Director of Administrative Services

- Understanding of construction industry helpful

Working conditions
- Generally planning on this being a position from 12PM-5PM, but somewhat flexible, and occasionally requiring more hours.
- Ability to handle fast moving, stressful situations
- Capability to multi-task and recalibrate quickly
- Ability to manage challenging clients
- Aptitude in handling challenging employees
Physical requirements

- The dispatcher will work in conjunction with all truck drivers and project managers to best maintain the organizational structure and flow of the company.
