POSITION OVERVIEW: This position is integral to ensuring that the day-to-day office operations run smoothly and successfully support other business activities. Specifically, this position supports the team by handling various administrative tasks, including coordinating service tickets, managing bookkeeping, answering company phones, data entry, travel and event coordination, preparing the showroom, and asset management.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Performs other related duties as assigned
- Collaboration with PM for billing and data management
- Contracts entered as Projects with job costing
- Progress payments against deliverables
- Payroll Processing:
- Managing employee payroll, including tax withholdings and benefits.
- Ensuring compliance with payroll regulations and deadlines.
- Scheduling and Coordination:
- Scheduling meetings, appointments, and managing calendars for team members.
- Coordinating travel arrangements and itineraries for staff.
- Expense Management: Tracking and reconciling company expenses.
- Managing employee expense reports and reimbursements.
- Accounts Payable and Receivable:
- Processing invoices, payments, and managing vendor accounts.
- Following up on outstanding invoices and collections.
- Customer Service:
- Acting as a point of contact for clients and addressing inquiries or issues.
- Assisting with client onboarding and maintaining client records.
- HR Support:
- Assisting with recruitment processes, including posting job ads and scheduling interviews.
- Employee benefits and insurance administration
- Managing employee onboarding and offboarding processes.
REQUIRED QUALIFICATIONS/SKILLS:
- Proficient with QuickBooks Online, Microsoft Office 365
- Excellent communication skills (verbal and written)
- Organizational and project management skills to keep projects and processes on track.
- Self-motivated attitude with the ability to multitask and thrive in a timeline-driven environment
- Ability to work individually or as part of a team
- Must speak clearly and listen attentively to clients and other employees.
- Highly trustworthy.
