Office Administrator
Position Summary:
The Office Administrator is responsible for the efficient operation of the Kid City USA office. This position is responsible for assisting the Business Operations Manager with daily office needs including, but not limited to: data entry, correspondence, and general administrative duties.
Essential Duties and Responsibilities:
- Answer and screen phone calls in a professional manner
- Prepare and distribute correspondence to appropriate parties using email, correspondence, and spreadsheets
- Receive, process and review incoming supplies; follow up on received supplies
- Prepare and distribute weekly reports to executive management
- Prepare monthly payroll schedule
- Prepare invoices for purchase orders
- Organize office operations and procedures
- Check in supplies at the warehouse and place orders at the office or pick up from the warehouse
- Perform basic bookkeeping tasks for additional payment provided
- Maintain vendor database and maintain proper communication with vendors (i.e., update inventory levels, create invoices, etc.)
- Perform other duties as assigned by management
Requirements:
- High School Diploma or GED required; Associates Degree preferred or equivalent experience of work study or technical training preferred. College degree preferred.
- Previous office administration experience in a medical setting preferred.
- Knowledge of Microsoft Office Suite (Excel, Word, Outlook) required. Knowledge of HR databases preferred. Knowledge of ERP systems a plus.
- Strong written and verbal communication skills. Ability to effectively problem solve and communicate information orally with a variety of audiences including management, staff, patients, vendors, etc.
