*Part Time Opportunity (approx. 9:30am -3:30pm)*
Dynamic, growing company is seeking a Front Desk Study Intake Associate. This position is responsible for greeting panelists and clients. The Intake Associate position is also responsible for the flow and experience of a panelist’s visit, ensuring the lab is made aware when they are onsite or if additional help is needed. This position is also responsible for coordinating the intake process for study participants.
Essential Job Functions
- Greet, welcome and direct all visitors, panelists, customers and vendors.
- Ensure that all customers and vendors are signed in before entering the Administration or Laboratory offices.
- Coordinate and communicate via phone, text, and email with panelist to confirm, reschedule or cancel appointments for onboarding and/or corresponding studies.
- Answer phones and redirect them to corresponding department or take messages as needed.
- Receive all letters, packages and deliverables while notifying appropriate parties.
- Review study guides to ensure qualified participants are assigned to relevant studies.
- Invite subjects to register in the data management system.
- Confirm the study calendar for ongoing and upcoming participants.
- Update referral tracker as needed.
- Provide prospective and current panelists with support and guidance as needed.
- Ensure that all participants have completed the registration process and have been properly onboarded.
- Update participants according to study schedule/calendar.
- Update and maintain the subject database as needed.
- Review and update individual panelist credentials in the data management system as needed.
- Update the initial payment registration form with subject credentials to ensure study payment.
- Assist with coordinating informed consent distribution process (i.e., IC forms).
- Manage flow of panelist traffic.
- Perform other duties as assigned
Qualifications
- Bachelor’s degree (B.A.) preferred or 2+ years receptionist or intake related experience required.
- Prior experience in email / telephone recruitment is a plus.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple, concurrent tasks and priorities in high traffic environment.
- Excellent time management skills.
- Initiative and problem solving / analytical skills.
- Ability to organize and maintain all visitors and panelists for assigned projects and ensure adherence to established policies and procedures.
- Ability to work independently but also collaboratively and effectively with other clinical team and other staff members.
- Proficiency and experience in MS Office Suite (Word, Excel, PowerPoint, Teams, and Outlook) required. Experience with database management systems is a plus
