Provide administrative and logistical assistance for the programming and marketing efforts of the Grand Ole Opry show. Support programming and show production by fulfilling on- and off-site requests and details as needed for special events and daily operations. Work closely with the marketing and programming teams to coordinate promotions and special projects. Reports to Associate Producer of Show Development.
- Assist with daily administrative and general office functions, including ordering office supplies, sorting mail and processing orders and shipping needs.
- Maintain organization of the office, filing systems, supplies and equipment. Maintain lost and found tracking system.
- Monitor and respond to inquiries in the Opry Inquiries email inbox.
- Create expense tracking sheet and update and track expenses for approved project budgets.
- Maintain gifting program, including research, inventory management and ordering, budgeting and packaging (in partnership) with Artist Relations team.
- Fulfill on-site requests and details to support programming and special events as needed. Conduct various errands and deliveries.
- Create data templates for use with shows and special events, such as backstage clearance and complimentary ticket lists. Maintain and manage lists for shared use.
- Write, update, and distribute performing artist show bio cards.
- Assist with featured artist social graphics in advance of appearances. Prepare promotional assets from Artist Relations/partners or other assistance as needed.
- Coordinate show programs and show posters, gather partner promo graphics, and fulfill other tasks to support marketing efforts.
- Manage industry invitation lists, event RSVPs, and outreach lists. Send invitations via email or standard mail, monitor and report invitation responses, respond to questions/requests from guests, and regularly update standing lists with updated contact information, etc.
- Support VIP ticket management. Communicate with operations and programming via email and shared spreadsheet to coordinate VIP ticket requests and ticket pick-ups.
- Provide backup coverage for other administrative and programming functions as needed.
- Perform other duties as assigned.
Requirements:
Education
- High school diploma or equivalent required
Experience
- 1+ years of related administrative experience, preferably in the entertainment industry
Knowledge, Skills and Abilities
- Strong interpersonal, written, and verbal communication skills
- Well-organized, detail-oriented and able to balance priorities in a changing environment
- Possess good judgment and excellent customer service
- Must be able to handle confidential matters with discretion
- Proficient computer skills, including Microsoft Outlook, Word, PowerPoint and Excel

- Valid driver's license with satisfactory driving record required
