Overview
Under the supervision of the Follow-up Lead Manager, this position will take ownership of ensuring the timely delivery of reports by following established workflows and coordinating with Follow-up Lead. The role includes managing internal tracking systems to facilitate effective follow-up communication with managers, ensuring timely report delivery, and providing comprehensive administrative support. This encompasses planning, organizing, coordinating, and implementing programmatic initiatives for the Follow-up Team.
Responsibilities
Tracking & Follow-up Task:
- Own the tracking process by proactively communicating with the Follow-Up Manager and Follow-Up Lead team about report timelines, upcoming deadlines, and any potential issues or delays
- Regularly update and monitor the Internal Tracking System to ensure it functions efficiently and accurately reflects current report statuses.
- Set up alerts and notifications within the system to flag upcoming deadlines, overdue reports, and any deviations from the workflow guidelines.
- Ensure that all reports are issued within the specified timeframes outlined in the OHS workflow guidelines using the Internal Tracking System.
- Provide regular status updates to the Follow-up Manager and Director of Validation and Compliance ensuring transparency and accountability in the reporting process.
- Follow up with relevant team members to ensure timely completion of tasks and adherence to workflow guidelines.
- Track IT-related issues and coordinate/communicate resolutions.
Tasks Supporting Reviews:
- Assist with the review of the evidence supporting review narratives and ensure appropriate evidence is uploaded to the evidence binder for the review.
- Prepare updates for key stakeholders related to changes in process or procedure.
- Assist with developing and documenting procedures and processes related to Follow-up, RAN, and Special Reviews.
- Monitor open Follow-up, RAN, and Special Reviews. and take notes during interviews as requested.
- Update Teams, SharePoint, or other document management sites with appropriate documentation.
- Provide support to Regional Office and OHS Policy and Oversight staff as needed or requested.
- Participate in OHS meetings as needed or requested.
- Provide administrative support, including meeting scheduling, coordinating calendars, preparing briefings and communications, and note-taking.
- Provide support to Follow Up Team members as needed or requested.
- Other duties as assigned.
Qualifications
Bachelors' degree and 3+ years of relevant Head Start experience. Advanced knowledge of MS Office Suite. Experience working with MS Project, Teams, Zoom, PowerBI, and SharePoint preferred.
Basic Compensation: $58,710 - $71,494 yearly salary
The salary offered within this range will be based on the selected candidates' skills, experience, education, market data, and internal parity. DLH may offer other rewards that may include performance incentives and program-specific awards. An applicant's salary history will not be used to determine compensation.
