The admin coordinator provides scheduling support to the clinical team and acts as a consistent point of contact to patients. Oversees equipment inventory, maintenance and troubleshooting support. Provide administrative support to the Nurse Coordinators and works collaboratively with office staff, physicians, patients and their families in a compassionate and tactful manner to ensure continuity of care.
Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson
Coordinates scheduling of diagnostic studies, consultations and procedures for LVAD recipient evaluations and obtains any required pre-certifications
Answers incoming phone calls and provides assistance with other clerical duties which include but is not limited to program outreach, patient satisfaction surveys, producing patient education materials, and retrieving and scanning patient records
Providesequipment management support which includes but it is not limited to equipment assembly and external equipment setup, assisting with response to equipment related alerts/alarms via phone during office hours and conducting frailty assessments
Assists with inventory and ordering of LVAD equipment used in both inpatient and outpatient settings
Collaborates with biomedical engineers
Assists the Clinical Manager with maintaining adherence with the Joint Commission
Orders clinical supplies via Ascent, Office Depot, etc.
Works closely with equipment and pharmacy vendors, obtains quotes, creates PO's.
Obtains preauthorizations for prescriptions
Works closely with clinical manager
Primary support for all clinical staff (over 50+)
Other duties as assigned
HS Diplma or equivalent preferred
3+ years of related expereience required
