This is a part time Concierge/Front Desk position. The hours are as follows:
Sunday 2:45pm - 8:00pm
Monday, Tuesday & Wednesday 4:30pm - 8:00pm
Associate welcomes visitors and answers incoming calls in a warm, pleasant, and professional manner. Maintains a clean and neat reception area, handles specific resident services and facility tasks as assigned and seeks administrative support as needed. This position is responsible for supporting business office functions including secretarial support, marketing, and providing support to clients of Tapestry Senior Living while upholding the standards and values of the Mission of Tapestry Senior Living.
Qualifications:
- High School diploma or equivalent,
- 1-3 years’ experience in similar administrative position.
- Good organization skills.
- Cheerful, friendly personality.
- Able to operate office equipment including copier, fax machine, postage meter, etc.
- Other Specialized Knowledge and Abilities:
- Proficiency in Windows and Microsoft Office including Word and Excel, and accounting software.
- Ability to work under pressure and meet tight deadlines.
- Exhibits positive customer service that includes respectfulness, friendliness and willingness to assist others. Well-groomed, professional appearance.
- Displays personal initiative by completing work without constant supervision, by having reliable attendance and by addressing work-related problems with the proper individuals.
- Demonstrates communication skills that include careful listening, thoughtful responses, and accurate reporting to the appropriate people.
- Maintains/protects resident and staff confidentiality. Recognizes/respects residents’ rights.
- Demonstrates ability to discern the importance and urgency of events and follows through appropriately.

- Must be able to assess and understand the needs of seniors.Essential Position Functions & Tasks:
- Provide administrative support.
- Provides a welcoming environment for residents, staff, and all visitors to the facility.
- Maintains up-to-date knowledge of the facility benefits/services provided.Greets visitors courteously and directs them to the appropriate area or personnel and answers routine questions.
- Operates paging/telephone system as required. Answers incoming calls, both internally and externally, in a warm, pleasant, and professional manner.
Takes detailed messages when appropriate and ensures that messages are relayed promptly to the intended person. Ensures that the reception areas are clean, neat, and inviting. Prepares outgoing facility mail for pickup. Sorts and distributes incoming mail for distribution to departments. Maintains current listing of residents and staff. Performs typing, copying, faxing for all departments as requested. Maintain confidentiality of all material. Assist with program or meeting arrangements for special functions. Other duties as assigned.Share responsibilities in all aspects of marketing and customer service. Establish and maintain good working relationships with the surrounding community, social service and county agencies. Give occasional tours and information to perspective tenants.
