Automotive Office Manager/Controller
POSITION SUMMARY: Processes and generates financial data for all dealership departments, which together represent the accurate financial condition of the business. Provides accurate reporting to the CFO and dealership managers and is responsible for dealership accounting office and administrative functions. Performs duties in a manner that is consistent with McGee Automotive Family’s core philosophies, principles, and values.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Prepares a complete financial statement monthly according to dealership guidelines and within each manufacturer's format and time frame
- Ensures that all manufacturer accounts, including warranty claims, rebates, interest protection and co-op advertising are current and accurate
- Interprets the financial statement and the daily operating control (DOC) regularly and informs dealer of developing trends.
- Participates in the preparation of short- and long-term financial forecasts for the dealership.
- Provides department managers with detailed financial and management reports.
- Reviews the general ledger and scheduled accounts. Notes any unusual entries and investigates. This also includes expense trend analysis.
- Analyze and organize office operations and procedures.
- Control all posted documents, including time records, service documents, vehicle deals, commissions, and additions and changes to inventory.
- Maintain an effective cash management system. Forecasts cash needs.
- Control petty cash amounts for dealership.
- Reviews the reconciliation of general ledger accounts with outside sources to ensure proper recording of/to reserve accounts, factory payable, and floor plan payable.
- Reconcile select accounts monthly.
- Print monthly journals, schedules, and general ledger. Closes month by processing accounting month-end.
- Approve new charge accounts and oversees collection of past due accounts.
- Participates with the annual audit (or review) of the books and ensures a vehicle physical inventory is completed.
- Assists CFO with ensuring that all office personnel are using proper accounting procedures and maintaining accurate records and analyses and supervises the preparation of all information for the CPA in order to minimize audit or review costs.
- Completes month end duties to remain in compliance with standard reporting guidelines (including items such as GAAP)
- Works extensively on projects as required by CFO

- Is punctual to all scheduled shifts and meetings and properly records all start and exit time punches in Paylocity system

- Strong knowledge of accounting procedures including GAAP.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages,
- Assists in completion of annual review/audit.
- Manages department performance.
- Attends managers meetings as requested.
- Reports any situation or condition that would jeopardize the safety, welfare, or integrity of the dealership, its customers or employees to management
- Always maintains professional appearance and demeanor, including at work areas.
- Understands and comply with federal, state and local regulations
- Executes both effective verbal and written communication
- Responds quickly to voicemail or email messages
- Meets deadlines, prioritizes assignments, and multi-tasks under pressure
- Is proficient in Microsoft Office (including Word, Excel and Outlook) and has working knowledge of sales-related computer programs
CERTIFICATE/ LICENSE: Bachelor's degree (B. A. or B.S.) from four-year college or university; or four to ten years related experience and/or training; or equivalent combination of education and experience.
