POSITION DESCRIPTION
Position Title: Concierges, Public Programs, & Volunteer Services Manager
Reports to: Director of Visitor Services
Department: Visitor Services
FLSA Status: Exempt/FT
Summary of Key Responsibilities: Concierges, Public Programs, & Volunteer Services Manager
With direction from the Executive Director and Director of Visitor Services, the Concierges, Public Programs, & Volunteer Services Manager has the responsibility to support the Visitor Experience team, and museum leadership. Reports to Director, Visitor Services
Key Responsibilities: See (3) below:
· Concierges: Assists guests and VIP’s to provide high level if Visitor Experience
· Volunteer Services Manager: Creates, maintains a Volunteer Program to include recruitment of volunteers, placement and responsible to administrative functions
· Public Programs Manager: Responsible to oversee museum-led events open to the public
All three key responsibilities are integral to the success of the museum as the Concierges, Public Programs, & Volunteer Services Manager provides both the first impression and last interaction for visiting VIPs, guests and volunteers. Our goal and commitment is to exceed guest needs and expectations and to ensure the time they spend with us is informative and enjoyable.
Supporting responsibilities include:
Concierges
· Escorts guests as needed throughout the Pearl Harbor area
· Arranges for tours, gifts, lunch reservations, transportation
· Communicates guest needs quickly and clearly to museum staff for mutual support
· Presents exhibits to guests as needed
Volunteer Services Manager
· Arranges base access and DBIDS for guests, staff and volunteers
· Promotes and maintains a wide range of volunteer opportunities within the organization.
· Recruits, interviews, selects and assigns volunteers to different departments/positions
· In an administrative capacity, maintains an accurate record of volunteers, their hours and ensure communication is facilitated
· Greets guests and volunteers and serves heir advocate with the museum
· Ensures the volunteer office is stocked, presentable, organized and maintained
Public Programs
· Executes museum-led events throughout the year (DYFA, Museum Day, Book Signings)
· Oversee the logistics of museum-led events to ensure guest satisfaction
· Builds and Maintain relationships with wide array of organizations that best fit our mission
· Supporting the museum as needed with additional duties
· Other duties as assigned or needed.
Supervisory Roles: The Concierges, Public Programs, & Volunteer Services Manager supervises the Docent & Public Programs Assistant and serves as the Manager of the Day as needed once trained
Qualifications
· Prior management experience required, with strong interpersonal skills
· Ability to handle several projects simultaneously and prioritize work
· Excellent planning and organizational skills
· Ability to work as part of a team and be an effective team leader
· Responsible to take initiative and work creatively
· Ability to deal professionally and sensitively with a diverse range of contacts
· Current Driver’s License
Education, Experience and Skill: Experience in customer service required.
Communication Skills: Ability to communicate effectively and professionally, both orally and in writing. Ability to read, analyze, and interpret complex documents.
Interpersonal Skills: Use considerable initiative, creativity, judgment, problem-solving skills while working under executive direction. Requires being able to deal with difficult people or situations involving complex issues; and establishing and maintaining cooperative and productive work relationships.
Technical/equipment Skills: Proficient in Windows computing environments, data management software, Microsoft Office products including Word, Excel, and Power Point.
Physical Requirements:
- Prolonged periods of sitting at a desk and working at a computer.
- Must be able to lift up to 20 pounds at a time.
Job Type: Full-time
Pay: $45,000.00 - $47,000.00 per year
