JOB DESCRIPTION
Job Title: Front Desk Assistant
Job Summary: Provides indirect patient care in the office setting. Greets and registers patients. Verifies patient demographic and insurance information. Performs clerical duties. Meets the communication needs of the patient/family, office staff and the medical staff. Participates in performance improvement activities.
Duties & Responsibilities:
- Review physician’s/provider’s schedules from eCW and determine patients that need to be verified. Example: New Patients, established patients that have not been seen within the past month and all exchange patients every time.
- Accurately obtain, confirm and enter patient demographics into eCW (the practice management system.) Example: Insurance cards/ID numbers should be checked to assure that insurance is entered correctly.
- Verification of benefits through designated websites. Examples: Navinet, Availity Cigna, Coventry, NHP, Care Plus etc.
- Recognize and fix any error that may occur when performing E eligibility and rerun eligibility to verify that the correction has occurred. Example: date of birth, address, ID number, etc.
- Call insurance company if unable to obtain correct information online or through E-Eligibility. Example: deductible on in office procedures
- Contact patients in a timely manner with the benefits and give the appropriate information to patient. Example – What the patient’s responsibility is regarding deductibles, co insurance, co pay, referrals/authorizations as needed, for new patients bring picture ID and copy of insurance card, etc.
- Show the appropriate customer service/respect for all offices by assuring that the information sent to the offices is accurate/complete.
- Self-monitor areas that “mistakes” have been identified and “coached” for correction to assure ongoing accuracy for all job tasks. Example: Proactively seek additional training or assistance to assure complete understanding of job responsibilities as well as feedback on own performance.
- Answer the phones promptly.
- Check your emails throughout the day. This also includes responding to message bubbles in a timely manner.
- Proactively review daily schedules for updates and add on's that need to be verified.
- Communicate with your co-workers when working to cover other team members during their absence or inability to cover all assigned departmental tasks.
- Working knowledge of all aspects of insurance verification, including “specialty services” in order to cover your coworker(s) when needed.
- Answer incoming calls promptly and direct as needed.
- Schedule appointments for patients calling as well as those Checking-Out who need Follow-up Appointments.
- Reschedule patient appointments for all no-shows and/or patient’s requiring scheduling changes.
- Collect Co-Payments, Co-Insurance and/or Deductibles
- Performs other duties as assigned.
Required Skills & Abilities:
- Ability to establish and maintain effective working relationships with office staff members, providers and patients.
- Completes annual educational requirements.
- Ability to be flexible, organized and function under stressful situations.
- Ability to report to work on time and as scheduled; completes work within designated time.
- Demonstrates knowledge of HIPAA regulations.
- Ability to comply with all organizational policies regarding ethical business practices.
- Ability to type 40 words per minute.
- Knowledge of medical terminology.
- Excellent interpersonal skills.
- Ability to communicate effectively in English, both verbally and in writing.
