Orthodontic Office Patient Coordinator
We are a state-of-art brand new office in Encino, California dedicated to providing exceptional orthodontic care and creating a welcoming environment for our patients. We are seeking a motivated and organized individual to join our team as an Orthodontic Office Front Desk Patient and Office Coordinator. We are located in the heart of Encino, CA.
Job Description:
The Orthodontic Office Front Desk Patient and Office Coordinator is a key member of our team, responsible for ensuring smooth and efficient operations at the front desk and providing excellent customer service to our patients. This role involves a combination of administrative tasks, patient interaction, and coordination duties to support the overall functioning of the orthodontic office.
Responsibilities:
1. Front Desk Management:
- Greet patients warmly and professionally as they arrive.
- Manage patient check-in and check-out processes.
- Answer phone calls, schedule appointments, and manage the office calendar.
- Handle patient inquiries, provide information about services, and resolve any issues or concerns.
- Maintain a clean and organized office.
2. Administrative Duties:
- Verify patient insurance information and handle insurance claims and billing.
- Maintain accurate patient records, including updating personal and insurance information.
- Collect and process payments, including co-pays and outstanding balances.
- Prepare and send out patient reminders for upcoming appointments.
- Order and manage office supplies and inventory.
3. Patient Coordination:
- Assist patients with completing necessary forms and documentation.
- Coordinate with orthodontic staff to ensure timely patient flow and efficient use of office resources.
- Communicate effectively with patients about treatment plans, payment options, and follow-up care.
- Manage patient referrals and coordinate follow-up appointments as needed.
4. Office Support:
- Assist in organizing office meetings, training sessions, and other events.
- Support the orthodontic team with various administrative tasks as needed.
- Ensure compliance with office policies, procedures, and regulations.
- Participate in Social Media Marketing efforts
- Participate in Local Marketing, Event planning.
Qualifications:
- Must be enthusiastic to take responsibility, grow, and participate in all office activities as necessary.
- Minimum High school diploma or equivalent (college coursework or degree preferred).
- Previous experience in an orthodontic or dental office setting is highly desirable.
- Prior experience with "Ortho2" Orthodontic practice manager a huge plus.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in using office software and orthodontic practice management systems.
- Ability to multitask and work efficiently in a fast-paced environment.
- Friendly and professional demeanor with a strong focus on patient care and satisfaction.
- Knowledge of orthodontic terminology and insurance processes is a plus.
- Knowledge of Social Media Platforms and marketing on Social Media a plus.
- Ability to speak multiple languages a plus.
