Located in Long Island City, NY, Henick-Lane is currently seeking a qualified individual with office construction experience to join the company as an administrative assistant to the Estimating Department. The position will directly report to the Director of Estimating and the Director of Purchasing.
Responsibilities:
- Provide administrative support to the Director of Estimating, Director of Purchasing, and the Estimating staff.
- File and manage all correspondence including submittals, construction drawings, addendums, bulletins, and RFI’s, for each assigned opportunity.
- Print drawings and prepare bidding documents for the assigned estimator.
- Distribute construction drawings to sub-contractors and vendors and follow up for quotes/proposals.
- Track and renew expired documents for each project.
- Follow up with contractors and clients to obtain bid results.
- Maintain Salesforce for all outstanding and submitted proposals, awarded work and lost opportunities.
- Maintain and distribute daily bid and no-bid list.
- Facilitate monthly reporting to be submitted to the executive management team.
- Maintain printer, coordinate printer service, change paper, and order additional supplies when required.
- Possess the physical ability to lift, up to 25 lbs. and handle large rolls of paper typically measuring 48 inches in length
- Maintain sub-contractor and vendor list.
Qualifications:
- Minimum 3 years experience working background within a construction company
- Proficient in data entry and attention to detail
- Excellent organizational skills and ability to prioritize tasks effectively
- Should be well versed in computer usage and software such as Microsoft Office Suite
- Ability to work independently and as part of a team
- Experience with Salesforce is a plus
- Excellent verbal and written communication skills
- Must be able to work Monday - Friday in the office from 8 AM to 5 PM
