Overview:
We are seeking a highly organized professional who excels in a fast-paced, values-driven environment. The ideal candidate will collaborate closely with our senior rabbi, making swift and thoughtful decisions to prioritize their time and commitments, thereby maximizing the senior rabbi’s impact. This role requires a deep understanding of our faith's values and practices, exceptional communication skills, and the utmost discretion and professionalism.
Responsibilities:
Administrative Support
- Provide high-level administrative support, including document preparation and managing emails.
- Maintain organized files and records related to community activities and correspondence.
- Oversee and manage the CRM database, ensuring accurate data input and maintenance for optimal client relationship management.
- Provide administrative support to the capital campaign by fostering and maintaining strong relationships with donors and stakeholders, ensuring successful fundraising efforts, and managing a complex calendar of campaign meetings and events.
- Provide administrative support to the Temple Sholom Board and Board President, including scheduling meetings, preparing agendas, recording minutes, managing correspondence, and ensuring timely follow-up on board decisions and actions.
Calendar and Schedule Management
- Manage the senior rabbi’s daily, weekly, and monthly calendar, ensuring an efficient and effective schedule that aligns with priorities and commitments.
- Handle complex scheduling and proactively resolve conflicts to maximize availability and strategic engagement.
- Coordinate travel arrangements and prepare itineraries.
Communication and Liaison Duties
- Serve as a liaison between the senior rabbi and congregants, staff, and external contacts.
- Communicate effectively with other departments, community leaders, and external partners to ensure coordination of schedules and commitments.
- Craft and refine written communications like emails and newsletters, ensuring clarity and alignment with organizational objectives.
Team Coordination and Outreach
- Skillfully discern and prioritize the diverse needs of the congregation, assigning meetings and responsibilities to clergy team members for optimal pastoral care and community support.
- Support outreach and stewardship efforts for key donors through coordinating meetings, events, dinners, and gift distributions.
- Participate in community events and assist with their organization as needed.
Confidentiality and Discretion
- Maintain discretion and confidentiality in managing sensitive information and communications related to the senior rabbi’s engagements and appointments.
Qualifications:
- Prior experience as an executive assistant or similar administrative role.
- Excellent organizational skills and attention to detail.
- Maintain composure and demonstrate effective and creative problem-solving skills in high-pressure and fast-paced environments.
- Advanced calendaring skills
- Demonstrated proficiency with CRM platforms, including the ability to efficiently manage and analyze customer data to drive engagement and streamline communication processes.
- Strong and effective communication and interpersonal skills, including ability to manage and address challenging conversations to maintain positive relationships and outcomes.
- Strong writing skills
- Ability to work independently and as part of a team
- Discreet, trustworthy and ethical

- Proactive and able to take initiative
- Tech savvy; can create high quality documents, spreadsheets, PowerPoint presentations
- Proficiency in office software (e.g., Microsoft Office) and ability to learn new software as needed.
- Knowledge of Hebrew and familiarity with Jewish rituals and customs preferred
Education:
Bachelor’s degree or equivalent experience in administration, communication, or a related field preferred.
