Real Estate Management Company located in Downtown Brooklyn seeks an Executive Assistant.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Accounts Receivable and Accounts Payable
- Ensure timely processing of all incoming rent payment. This includes mail and online ach payments.
- Upload rent bills for printing and posting to tenant ledgers. This includes recurring monthly rent and other charges such as water, tax and subsidy related credits. Handle inquiries from tenants regarding their accounts.
- Ensure timely processing and GL coding of all vendor invoices.
- Prepare invoices for audits and benchmarking.
- Import and upload payroll reports.
· Nonpayments, Holdovers, HP Cases
- Review and assess arrears reports and handle all legal related matters such as rent demands, petitions, warrants and motions.
- Create work orders for court stipulated repairs and place service orders and acquire certified deeds and MDR registrations for court appearances
· Lease Renewals
- Prepare, mail, and email lease renewals. Answer questions from tenants regarding their renewals.
- Scan and file new leases and lease renewals.
- Monitor and follow up on unsigned renewals. Commence holdover cases as necessary.
- Prepare and upload files to DHCR website for annual registration.
· Section 8
- Monitor NYCHA website for monthly payments and any new violations. Ensure that they are addressed and certification submitted in a timely manner.
- Submit lease renewals online to NYCHA and HPD website. Prepare and submit HAP Contracts.
· Annual Submissions
- Prepare and submit annual RPIE’s, safety notices, MDR registrations, NYS DOS biennials.
- Request and schedule HPD dismissal request inspections. Prepare and submit cv-1 forms for no access units.
· Reports
- Prepare various weekly, monthly and annual reporting for management.
Experience in the real estate management field is a must. Candidate must be an avid multi-tasker, tech savvy and a quick learner with the ability to accurately enter data into computer software and systems. Interested in working as a team and flexible to handle all assigned tasks as quickly and as efficiently as possible to meet required deadlines. Candidate should be a creative thinker and be able to solve problems on their own. Knowledge of MDS management software and Excel a plus. Salary is based on experience.
