The Opportunity
Leavitt Machinery is looking for a friendly, organized, and team-oriented Branch Administrator to join our team in Tukwila, Washington. As the Branch Administrator you are the first voice and point of contact for our customers. You will be responsible for greeting and directing customers to the appropriate departments in a professional and friendly manner, both in person and over the phone. Ensuring communication across departments is managed seamlessly and with transparency will be a critical component of this role.
Essential Duties & Responsibilities
As the Branch Administrator, your key responsibilities will include:
- Branch reception duties, including answering phone calls, collecting pertinent information, and transferring calls as needed
- Directing walk-in traffic in the branch
- Coordinating shipments, interoffice mail, and minor shipping and receiving items, and communicating with the appropriate department upon receipt or delivery of items above
- Collecting and distributing mail
- Ordering and tracking office supply orders, marketing items and vendor servicing
- Tracking invoices by calling/emailing vendors for Parts and Service Invoices
- Administer SILK and CRM functions as they pertain to specific departmental assistance
- Arranging branch related activities
- Arranging quoting for facilities work
- Managing and reconciling branch petty cash
- Coordinating the branch board room for interviews and training activities
- Arranging meals for training luncheons
- Assisting others in the branch with submitting expense claims
- Contact and follow up with customers to book Planned Maintenance Services.
- Handle customer and internal maintenance requests
- Ensure adherence to targets and distribute reports as required
- Make recommendations to customers on additional levels of service
Required Skills & Qualifications
The ideal candidate will possess the following skills, knowledge, and competencies:
- Post-secondary education in Business, Sales, Marketing, or equivalent is preferred
- Previous experience in a comparable role preferred
- Superior Microsoft Office Suite skills, including experience using MS Excel, Word, Outlook and Access; familiarity with SILK and other Microsoft based programs is required
- Ability to excel in a fast-paced work environment
- Strong verbal and written communication skills
- Skilled in establishing and maintaining effective working relationships
- Highly organized with strong time management skills
- A team player with a positive attitude
- Motivated, reliable, and resilient, and willing to continuously learn
- Ability to work with minimal supervision
- Multilingual will be considered a valuable asset

The base pay range for this role is: $44,000-$48,000 per year.
This is an onsite role based in Tukwila, Washington.
