Job Summary:
As an Office & Administrative Coordinator at Sentech Architectural Systems, you will play a crucial role in supporting our operations by ensuring efficient office functioning and providing administrative support to various departments. The ideal candidate has substantial experience in the management of daily operational and office activities, and will perform administrative support for multiple departments, including administration, finance & accounting, purchasing and procurement, shipping/receiving and project management. This role is responsible for assisting with daily business activities and administrative tasks, including company meetings, events, travel arrangements, answering phones, scheduling meetings, managing office supplies and supporting the daily operations and maintenance of the office.
This position requires an organized, experienced person with excellent communication skills that works well in a matrixed and fast-paced team environment. Attention to detail is a must. This role will report directly to Sentech’s Director of Finance and Administration.
Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following responsibilities:
Responsibilities:
- Ensures smooth and efficient office operations
- Schedules meetings, answers phones, communicates messages throughout the organization
- Acts as a gatekeeper- greets and assists customers, vendors, employees and visitors
- Keeps PTO and Office Calendars up-to-date with the input from Director of Finance
- Maintains digital and physical records and documents/filing
- Keeping office spaces generally clean
- Inventories and orders office supplies
- Helps maintain facilities and office supply budget
- Orders and sets up weekly breakfast for office and shop
- Prepares agendas, takes notes at company-wide meetings for management
- Coordinates office maintenance and repair as needed
- Solicits quotes for office/shop maintenance and repair as needed
- Serves as liaison with technical support staff for office equipment and maintenance/support
- Maintains continuity of work operations by documenting and communicating needed actions to management, discovering irregularities, and determining continuing needs
- Supports our CEO with travel arrangements and miscellaneous executive support
- Maintains, organizes and keeps up-to-date all company and individual engineering licensing logs and licenses
Required Skills and Experience:
- 10-15 years of proven work experience as an Office or Operations Coordinator or similar role
- Good time management, prioritization, and multitasking abilities
- Impeccable problem-solving skills
- Excellent interpersonal skills to build strong relationships with colleagues; team player mentality
- Effective communication, including speaking, writing and active listening
- Working knowledge of MS Suite
- Must be willing to adapt changing priorities and shift priorities as needed
- Must maintain a positive, energetic attitude towards employees and workload at all times
- Must display sense of urgency, ability to work under pressure, with attention to detail
Preferred Skills and Experience
- Bachelor’s degree (or equivalent)
- Prior experience with Executive Support & Administration
- Knowledge of Salesforce, Smartsheet, Quickbooks
- Marketing experience
- Prior experience in a manufacturing and/or engineering environment
