We are currently seeking a Front Desk Coordinator to be the face of our office, ensuring smooth operation of the clinic and a positive experience for every patient who walks through our doors.
The Front Desk Coordinator plays a crucial role in our office, serving as the first point of contact upon the patient's arrival. This position is responsible for managing patient flow, scheduling appointments, handling inquiries, and performing administrative duties with a high level of professionalism and efficiency.
Desirable candidate attributes include punctuality, excellent communication skills, attention to detail, and a motivation to instill a sense of care and compassion into the patient experience. Our practice specializes in the treatment of occupational injuries, familiarity with the nuances of these patients and their particular requirements is favorable. Former CNA or CMA individuals seeking to transition to a more administrative role are encouraged to apply.
Essential Functions:
- Greet patients and visitors in a warm and professional manner, ensuring a positive first impression
- Perform patient check-in, including collecting and verifying patient information, and assisting with the completion of necessary forms and paperwork
- Collect co-pays and payments, process credit card payments, accurately record co-pays and payments in the EHR and provide receipts
- Manage the scheduling of appointments, including adjustments and cancellations, to optimize patient flow and provider schedules, confirm appointments as necessary
- Answer phones, respond to patient questions, and route calls as necessary
- Process and manage insurance verification and authorizations, assist patients with insurance- related inquiries
- Handle various administrative tasks such as responding to emails, photocopying, and faxing
- Provide patients with information regarding appointment details, office policies, procedures, and services
- Maintain organization and cleanliness of the waiting room, front desk, and patient intake areas
- Collaborate with other staff members to ensure smooth patient flow and seamless coordination of patient care
- Follow HIPAA guidelines and maintain strict patient confidentiality
Work Environment:
This position operates at a desk within a medical office environment and uses standard office equipment such as computers, telephones, copiers and fax machines.
Physical Requirements:
This role is required to sit for occasional long periods of time and frequently operate a computer and telephone. Frequent moving about the office to access office equipment and to assist patients is necessary. Lifting, carrying, pushing and pulling of up to 10 pounds is required.
Position Type:
This is an hourly full-time position that typically works Monday through Thursday from 7:30AM to 4:00PM and Fridays from 7:30AM to 3:00PM.
