Your Mission: Cheerfully welcome clients to our practice (phone/in-person) and consistently thrill our clients with your level of service. Accurate and timely printing, scanning, notarizing, and mailing + emailing of estate plans and deeds and precise record-keeping re same. Kind and professional communications with clients to follow-up re same and re scheduling, as needed.
Position Detail: 40 hours per week, Monday - Friday 9-5:30, option to add hours Saturdays. The duties of the position will change as firm needs change, travel in company car to other firm locations should be expected and may occur 4-5 days per week depending on company needs. Pay based on experience. Must be willing and able to become a Notary Public.
Reception-Focused Duties:
o Happily respond to all contacts from potential clients (phone, email, text) within 1 hour to ensure we are viewed as helpful and responsive.
o Welcome clients to Summerall Law and help them understand our services and offerings.
Administrative-Focused Duties:
o Weekly audit of attorney internal record-keeping systems to determine next steps needed for clients and contact clients as appropriate.
o Printing and supporting the preparation of Estate Plans for certain signing locations.
o Witness and/or notarize plan signing as appropriate, scan, email, and return all plans to clients same day.
o Track all plans and tasks accurately in internal record-keeping system.
o Process deeds (to the county and the client) and track them accurately in the internal record-keeping system
o Follow-up with clients and other team members to confirm client information and estate plan progress.

Other Requirements:
· Willing to Become Notary Public.
· High school diploma or GED required
· Bachelor’s degree preferred or 2 years’ experience in administrative support.
· Proficient in Google Suite Documents
· Error-free typing
· Advanced user of Microsoft Office products with an emphasis on Word.
· Must be able to use hands, fingers and wrists, repetitively, using a computer keyboard, telephone, and adding machine.
· Must be able to proficiently read, write and speak clearly in English.
