We are currently seeking a part-time Administrative Assistant to support our Director of Agronomy. This position is ideal for a self-motivated, proactive/anticipatory, enthusiastic professional with exceptional organizational, writing, and administrative skills and the ability to handle confidential information with tact.
Job Summary:
The Administrative Assistant will provide comprehensive administrative support to ensure the smooth operation of the office. The ideal candidate will have experience handling purchase orders and must be bilingual, demonstrating strong communication skills in both English and Spanish.
Key Responsibilities:
- Administrative Support: Provide general administrative support, including answering phones, managing calendars, managing general payroll/missed punches, and scheduling meetings.
- Purchase Orders: Prepare, process, and manage purchase orders. Ensure accurate and timely completion of all related paperwork and data entry.
- Communication: Serve as the primary point of contact for both internal and external communications in English and Spanish. Communicates with and at times on behalf of Spanish-speaking staff on multiple matters, which could include private-confidential matters, .
- Documentation: Maintain and organize files, records, and documents. Ensure all documents are accurately filed and easily accessible per company standards.
- Customer Service: Provide exceptional customer service by responding to inquiries and resolving issues promptly and effectively.
- Onboarding: follow company protocols and work with human resources and the IT department to onboard new employees and offboard employees who leave or are terminated.
- Supplies Management: Monitor and order office supplies. Ensure the office is well-stocked and organized.
- Other Duties: Perform other administrative duties as assigned to support the team.
Qualifications:
- Education: High school diploma or equivalent required.
- Experience: Minimum of 2 years of administrative experience. Experience with purchase orders is essential
- Language Skills: Bilingual proficiency in English and Spanish .
- Technical Skills: Proficient in Microsoft Office Suite is a must (Word, Excel, PowerPoint, Outlook). Familiarity with office management systems and procedures.
- Communication Skills: Excellent written and verbal communication skills in both languages. Ability to communicate effectively with diverse groups of people.
- Organizational Skills: Strong organizational and multitasking abilities. Attention to detail and problem-solving skills.
- Interpersonal Skills: Ability to work independently and as part of a team. Strong interpersonal skills and a positive attitude.
Approximate Schedule and Hours:
- Part-time position, 9:00 am to 2:00 pm Monday through Friday
- May require some additional hours during busier periods.
