Duties are performed under the supervision of the Director of Marketing & Public Relations.
Job Responsibilities
- Manages day-to-day activities of Special Events Team including full-time Event Coordinators and Seasonal/Part Time Event Staff.
- Oversees development of project timelines, budgets, and procurement of supplies for all Special Events on the resort campus.
- Maintains consistent budget tracking, asset controls, and timely reporting of special event performance and inventories; provides consistent feedback to management.
- Innovates and researches new opportunities for the successful delivery of special event goals.
- Leads effective, timely collaboration efforts between internal departments and external vendors responsible for contributing towards event executions.
- Manages all aspects of administrative requirements ensuring items are complete and filed in the appropriate locations (I.E. contracts, vendor applications, tax forms, liability insurance, rental agreements, check requests, and other supporting documentation).
- Monitors event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
- Collaborates with leadership on potential scenarios that could impact the integrity of the event.
- Participates in preparation of annual budgets; provides supporting documentation as needed.
- Other duties as assigned.
Position Requirements
- Must have a bachelor’s degree in Business Administration, Marketing, Communications, Event Production, or related field OR (5) five years in event planning and coordination.
- Must have (3) three years’ experience directly related to Special Events or Fair and Festival management; experience in hospitality or tourism management is a plus.
- Demonstrated success in event management is required.
- Must enjoy working with the public.
- Must be organized, detail-oriented, and able to prioritize work on multiple projects simultaneously.
- Proficient computer skills (including MS Word, Excel, and Outlook) with the ability to quickly learn new programs is required; experience with project management systems is a plus.
- Strong leadership and people skills, plus the ability to build and foster a team environment.
- Willing and able to work odd or irregular hours including nights, weekends, and holidays.
- Must possess a valid state driver’s license.
- Able to work in sunny, hot, humid, cold, and rainy conditions.
- Able to travel and work beyond normal business hours including nights, weekends, and holidays.
