Summary:
This position is located in a Javara Care Center and is responsible for providing general administrative support to the Operations and Care Center Team. The person in this role is also responsible for providing excellent customer service to all internal and external clients. This role reports to an Operations Leader.
Essential Duties and Responsibilities:
- Promote the mission of Javara with a primary guiding principle of patient safety and well-being and building and maintaining a culture that combines the highest standard of integrity with excellence to all those Javara serves.
- Operate with the safety and protection of clinical trial participants as a primary responsibility.
- Provide Care Center and administrative support to ensure efficient day to day operations of the team in the areas of patient engagement, telephone communications, general site maintenance and e-source.
- Greet patients upon arrival and provide relevant documents for completion prior to visit initiation.
- Develop and maintain files on SharePoint and OneDrive.
- Coordinate travel and hotel accommodations, lunch requests and process expense reimbursements.
- Perform general inventory and order supplies and materials, as needed.
- Provide support for electronic (e-source) documentation and processes; assist with updating e-source documentation and processes.
- Assist with document maintenance, scanning, and uploading approved documents into eSource.
- Support planning, logistics and material development for team meetings.
- Support mail and shipping needs, receive incoming packages and route appropriately.
- Support data entry and reporting needs.
- Ensure that projects are completed in an efficient and timely manner.
- Assist with recruitment for clinical trials when needed.
- Support any additional activities as needed and directed by Operations Leadership.
- Utilize Microsoft Office products, other tools/aids and technology platforms to enhance efficiencies in day to day operations and communications.
- Understand and comply with SOP’s and relevant regulations related to source documentation and clinical research responsibilities of the investigator and study team.
- Work with leadership to ensure that all functions are aligned with the company’s strategic mission, values, and vision.
Qualifications:
Required
- Associate or BA degree or equivalent work experience.
- Previous experience providing administrative support.
- Able to use standard office software and equipment.
- Must present a pleasant, professional, and helpful demeanor.
- Exceptional planning and organizational skills.
- Highly motivated to provide exceptional service.
- Excellent written and verbal communication skills.
- Able to work autonomously or as part of a team.
- Able to manage challenging situations and conflicts and resolve problems effectively.
- Excellent interpersonal skills with proven written, presentation and verbal competencies.
- Proficiency with MS Office Systems.
- Able to communicate efficiently with team members.
- Making sure that every patient has a great experience and that they are satisfied with the service.
