As the Executive Assistant, you will provide support to Senior Studio Leadership and overall Studio support. You will perform a variety of administrative activities requiring exceptional attention to detail, organizational skills, and the ability to multi-task and perform well in a fast-paced environment. This position will be based in Las Vegas and will also provide Admin support to remote employees.
Provide the SVP with background information, meeting summaries and/or supporting documents in preparation for scheduled appointments, meetings, and speaking engagements; coordinates with other departments as necessary for preparation of specific engagements and maintains and tracks detailed priority list of projects and engagements. Design general correspondence, memos, charts, tables, graphs, presentations, business plans and duplication of materials etc.
Maintain an efficient flow of information between all levels of the organization including internal and external contacts on a wide spectrum of plans and priorities but at the same time, manage highly confidential and sensitive information with utmost discretion.
Manage appointments and meetings to include preparing agendas, facility coordination and material and transcribe of meeting minutes.
Establishes and maintains files in accordance with generally accepted business files maintenance procedures Coordinate travel and accommodations for Executive, Senior Leadership, and out-of-town guests
Arrange programs, events or conferences by arranging for facilities and catering, issuing information and invitations, coordinating presenters and controlling event budget.
Compile, analyze and prepare general reports
Review and track invoices / prepare expense reports
Ability to compose correspondence and reports
Organize and maintain departmental spreadsheets and files
Maintain executive’s calendar; ascertain which events require a manager’s presence
Manage commitments maximizing the manager’s time efficiency
Opens and routes all mail, orders office supplies, codes and reviews all paperwork necessary for the executive to approve. Routes all approved items for disbursement and payment as required.
Answers all incoming phone calls, and reception for any visitor or guests
Assists HR with on boarding and new hire process and paperwork
Act as the safety coordinator for Reno office
Ability to interface well with all levels of the organization and to represent the Vice Presidents in a highly professional manner.
All other duties as assigned.
Minimum Five (5) Years of relevant experience.
Associates Degree or equivalent work-related experience.
Strong oral and written communications skills.
Strong event planning and organization skills.
Ability to prioritize and independently follow through on all tasks and projects. Self-directed and self-motivated.
Dependable, Adaptable, Flexible, Poised and Articulate.
Must be able to use considerable discretion, judgment, confidentiality, and diplomacy.
Intermediate to Advanced Microsoft Office Suite; Outlook, Word, Excel, Power -Point, Visio.
Willingness to support executive team and be on call 24/7.
