Job Summary
A well-established auto repair shop is seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills and the ability to multitask in a fast-paced environment. As an Administrative Assistant, you will provide administrative support to ensure efficient operation of the office.
Responsibilities
- Answer and direct phone calls in a polite and professional manner
- Greet visitors and direct them to the appropriate person or department
- Maintain office supplies inventory by checking stock levels and ordering new supplies as needed
- Sort and distribute incoming mail and prepare outgoing mail for pickup or courier
- Schedule appointments and maintain calendars for multiple team members
- Transcribe meeting minutes and distribute to relevant parties
- Assist with event planning and coordination, including booking venues, arranging catering, and managing RSVPs
- Perform basic bookkeeping tasks using QuickBooks software
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Provide general administrative support such as filing, photocopying, and data entry
Qualifications
- Proven experience as an administrative assistant or in a related role
- Proficient in computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Familiarity with phone systems and professional phone etiquette
- Ability to handle confidential information with discretion
- Knowledge of clerical procedures and medical receptionist experience is a plus
