POSITION OVERVIEW
Position provides customer service to internal and external customers including but not limited to: answering multi-line phone system, responding to public walk-in inquiries, notary services and basic secretary duties.
ESSENTIAL FUNCTIONS OF THE JOB
· Responsible for professional customer service.
· Answering telephones and directing the caller to the appropriate staff member.
· Greeting in-coming customers, and directing their needs/questions to appropriate staff.
· Receive and sort incoming mail.
· Ordering, receiving, stocking, and distribution of office supplies.
· Assists staff with photo copying, emailing, faxing, filing.
· Receive and manage cash from public.
· Establish and maintain effective and professional communications and working relationships with co-workers, the public, and other agencies and departments.
· Maintain appropriate levels of confidentiality and respect towards the public, elected officials, department heads, and staff.
KNOWLEDGE, SKILLS, AND ABILITY REQUIREMENTS
· General office procedures and practices.
· General county government operations.
· Use of personal computers and software programs including Microsoft Office Suite and general office equipment.
· Public relations and phone etiquette, problem solving techniques and ability to prioritize workload.
· Listening and recording accurate notes and messages.
· Multi-line phone system, basic office filing and organization.
· Maintain confidential status.
· Effectively deal with people who may be emotionally charged by issues and information being presented.
· Establish and maintain effective and professional communications and working relationships with co-workers, the public and other agencies and departments.
· Organize and plan multiple tasks and responsibilities concurrently.
· Communicate effectively both orally and in writing.
· Be self-motivated, organized and an independent thinker.
· Follow and carry out directions accurately and completely.
· Handle multiple projects simultaneously and effectively.
· Back up to the Administrative Assistant.
· Perform other duties as directed or required.

Supervisory Responsibility
· This position has no supervisory responsibilities.
PHYSICAL REQUIREMENTS / WORKING CONDITIONS
· Work is performed in an office setting with extended periods of sitting, standing, bending, kneeling, walking, and lifting (up to 40 pounds waist high).
· Driving, climbing stairs, and walking outdoors on uneven terrain in a variety of weather conditions.
· May work an alternative schedule at the sole discretion of the County.
· Potential for working evenings, occasional weekends, holidays and out of town travel.
· Work is performed independently, primarily in an office environment.
· The environment may be stressful in striving to meet deadlines and staffing needs.
LICENSES, CERTIFICATES AND OTHER RECRUITING REQUIREMENTS
· (The County may, at its discretion, consider combinations of education, experience, certifications,
and training in lieu of specifically required qualifications contained herin.)
- Minimum of one-year receptionist and / or secretarial experience.
- Public Notary license or ability to receive one in first three months.
- Experience working for a government agency is preferred but not required.
- Ability to speak, write and comprehend Spanish is a plus.
· A background security check is required if a job offer is made.
