Job Overview:
Performs diversified job duties to support the HR/Safety Manager in recruiting, orientation/integration, employee relations, benefits, training, staff development, compensation, safety, management reporting and compliance.
Duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Carry out responsibilities in accordance with the organization's policies and applicable laws. Other duties may be assigned. Receptionist: 25% • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. • Directs visitors by maintaining employee and department directories; giving instructions/directions. • Maintains security by following procedures, monitoring log book and issuing visitor badges and PPE. Recruiting: 25% • Accepts applications. • Maintains the applicant records, including applicant log, source log, etc. • Pre-screen and screen applicants. • Set up and schedule online assessments for applicants. • Prepare job postings and collects internal applications. • Schedule interview for team. • Assist in the verification of past employment for tentative new hires. • Schedules pre-employment background and drug screen. • Prepares rejection and/or offer packages under the direction of the HR/Safety Manager. Orientation/Integration: 10% • Assists in processing new hire Payroll/HR documentation. • Conducts orientation for new hires • Schedules new hire integration. Employee Relations/Training & Development: 5% • May assist management with information gathering for performance documentation. • Coordinates employee functions, lunches and meetings. • Assists in coordinating training by notifying participants and preparing the training facility. - 2 - Benefits: 5% • Assists in processing benefit enrollments as directed by the HR/Safety Manager. • Refers unresolved issues to HR/Safety Manager. Compliance: 5% • Assists in distributing new policies and collecting acknowledgements. • Assists in maintaining bulletin boards. • Assists in maintaining the personnel and payroll files and documents in order. Responsible for the proper and timely filing of various personnel documents in the personnel files. Other Miscellaneous Duties: 25% • Assists in maintaining and preparing monthly reports. • Orders and maintains inventory of office supplies. • Distributes incoming and outgoing mail, including UPS shipments. • Responsible for the proper and timely filing of various personnel documents in the personnel files. • Ensure that New Hire and Integration packets are correct and prepared, ready for use. • Maintains the postage equipment, postage meter reserves and requisitions postage. • Provides clerical support to supervisors and managers as needed. SUPERVISORY RESPONSIBILITIES None. EDUCATION and/or EXPERIENCE The education requirements and experience requirement listed here indicate the minimum basic educational knowledge and the time required by a normal qualified person to perform the job duties of the position. Education: A minimum of a high school diploma or equivalent. Experience: A minimum of 1 year work-related experience is required. Knowledge of arithmetic, English and grammar. Accuracy and simple use of calculators, adding machine, telephone and computer. COMPLEXITY OF DUTIES Apply clearly prescribed standard practice, using several procedures, and some decisions required and the use of some judgment.
