As the Patient Coordinator, you'll be the heartbeat of our clinic, ensuring seamless operations and delivering exceptional care experiences to our patients and their families.
As a Patient Coordinator at Woven, you will:
- Own the schedule! Manage follow-ups, recurring appointments, authorizations, and re-evaluations. Create efficient time slots and admin times.
- Be the welcoming face for families, collecting intake paperwork and copays to support families!
- Handle calls with professionalism. Manage appointments, transfers, general questions, voicemails, and timely responses.
- Reach out to patients for updates on therapist availability, clinic closures, or open slots.
- Keep authorizations on track, notify parents of expirations, and guide them through renewals.
- Keep the waiting area clean, tidy, and comfortable, managing noise and activity levels.
- Ensure patient charts are up-to-date and inform relevant departments of changes.
- Maintain and update the waitlist, notifying patients of available openings.
- Track patient attendance and work with the clinic manager to resolve any issues.
- Efficiently file and scan patient and therapist documents into chart attachments.
- Communicate with therapists about the schedule and make necessary adjustments.
- Ensure patient confidentiality at all times.
- Other duties as assigned.
Education and experience:
- Minimum of a high-school diploma
- Medical scheduling experience is strongly preferred
Physical requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
Office hours:
- Full-time, non-exempt, 40 hours/week
- Monday - Friday: 8:00 am - 6:00 pm (hour dependent on clinic needs)
Compensation:
- $21 - $26 hour (additional compensation based on experience)
- Bonus opportunities available
