The Training Coordinator is responsible for supporting CoServ’s formal training programs, expense reconciliation for multiple groups within Corporate Services, and coordinating and arranging travel logistics for Employees attending training sessions or conferences.
- Confirms and manages Employee business-related travel requests.
- Documents conference training hours.
- Processes Tuition and Professional Certification Reimbursement submissions and ensures that Employees adhere to eligibility requirements.
- Provides reporting on continued education and training.
- Audits and reconciles expense reports related to travel.
- Responsible for approving all accounts payable invoices for travel and training.
- Responsible for monitoring the company-wide travel and training budget and monitors monthly budget variances.
- Prepares and processes budget variance reports for Corporate Services teams.
- Captures badge photos and create new or substitute badges for Employees.
- Generates communications to outside presenters providing event directives.
- Provides Security Officer with information on upcoming visitors, and organize badge access.
- Submits tickets to Client Services for technology requests for internal/external presenters.
- Uploads class attendance into the LMS.
- Point person for questions regarding the LMS (e.g., how-to’s/where to find).
- Facilitates food orders for training events/meetings (i.e., CoServ Experience, Power Lunch, and Admin Lunch Series).
- Manages and tracks inventory for New Hire Orientation materials.
- Performs the binding and printing of training resources.
- Schedules assembly rooms for training events.
- Solicits orders for supplies from Corporate Services team.
- Approves meeting room usage (e.g., Independence, The Station).
- Provides support for CoServ Charitable Foundation fundraising efforts.
- Complies with established CoServ safety and operating rules, procedures and guidelines including reporting unsafe practices to a supervisor.
- Complies with established CoServ Information Security Handbook, policies, procedures, and guidelines including reporting suspected information security incidents to Tech Support.
- Supports the Leadership and Training Development Specialists, as needed.
- Assists with responding to Employee contributions on CoServ Compass, the internal communication platform.
- Backup for training classroom setup and check-in for CoServ U classes.
- Helps coordinate and set up for Employee-related training events.
- Assists with internal communications, as needed.
- Serves as Logistics Coordinator during Emergency Restoration Plan (ERP).
- Plans, organizes, and coordinates Employee morale events.
- Performs other duties and activities as directed.
- High School Diploma or G.E.D. equivalency.
- Two (2) years in an administrative function with experience coordinating travel and reconciling related expense reports.
Experience, Education and Certifications Preferred
- Associate degree or equivalent progressive work experience.
- Experience in creating graphics.
- Experience with Adobe creative suite.
- Working knowledge of a learning management system (LMS).
- Working knowledge of Schoox and/or UKG Pro Learning.
- Must possess personal computer skills and be proficient in Office 365 products including, but not limited to Outlook, Word, Excel, and PowerPoint.
- Excellent human relations and communications skills, both written and verbal.
- Ability to work under strict deadlines and has the capability to utilize problem-solving skills.
- Ability to work as a team player.
- Must be detail oriented.
- Ability to prioritize and manage multiple tasks.
- Must have strong grammar skills.
- Ability to work independently, with minimal supervision.
