We are currently looking for a HR Coordinator/School Administrator (working title: Assistant Director) to join our school.
HR Coordinator & School Administrator — Charlotte Montessori School is looking for a full time professional to join our team of dedicated administrators. Applicant should have applicable experience in the field of Human Resources, Hiring, Staffing and preferably experience supervising teachers; Bachelor’s degree in the field of education or Human Resources required, Master’s preferred. Charlotte Montessori School is looking for a dependable candidate that is committed to finding a long-term position.
Qualifications
- Proven experience as Assistant Director, Human Resources professional, or other similar position at a school, preferably in the education field or other applicable experience.
- Experience in employee onboarding, performance, scheduling, and staff planning
- Outstanding written and oral communication skills
- Aptitude in problem-solving and assisting others
- Bachelor's in human resources, early childhood or other education field or related field; MSc/MA is an asset
- At least two years of early childhood education experience preferred, with an understanding of developmentally appropriate practices
- Excellent administrative, organizational, verbal, listening, and communication skills required
Responsibilities
General Leadership Tasks
- Support Director in the development of school policies
- Support Director in accountability efforts regarding school policies and expectations for staff and families
- Be an active member of the leadership team through collaboration, support, positive attitude, and proactive leadership
- Foster a supportive and positive school culture through strong leadership, morale events, and staff support
- Manage the front office of the Kingston-Cleveland building
- Support compliance efforts for state licensing, sanitation, and other inspections
- Assist with planning and leading teacher work days and annual work week
- Assist with planning and hosting school events and functions including but not limited to parent workshops, after-hours school community events, teambuilding events, conferences, celebratory events, and new family events.
- Lead and develop the Coordinator team through scheduling, monthly meetings, and professional development
- Oversee the morning Coordinator team ensuring the morning needs of the school are taken care of
- Support general school programming as needed (ex. PIEs programming, workshops, extended day activities, celebratory events, professional development, etc)
- Communicate facility needs to ensure a safe environment is maintained
- Support teachers and staff in classrooms when needed
- Actively welcome and communicate with families to ensure a positive school-parent relationship
- Manage and oversee the “Spirit Store” in conjunction with the Admissions Director.
Staffing Tasks
- Collaborate with the Director on staffing plans for daily schedules, leave coverage, and long-term staffing goals
- Manage the hiring process to include: posting positions, reviewing resumes, communicating with potential candidates, conducting initial interviews, referring top candidates for secondary interviews, coordinator follow-up, and shepherding candidates through the process from offer to orientation, and onboarding
- Schedule and conduct new staff orientations
- Ensure the integration of new staff into school culture and community through the onboarding program
- Draft the weekly schedule for the upcoming week to ensure adequate coverage plans for classrooms, school events, meetings, and general calendar needs
- Post the daily schedule for all staff and update throughout the day as needed
- Support staff development and acquisition of required continuing education units and health and safety trainings
- Schedule annual CPR/FA trainings
- Work with Director to ensure staff files are maintained, orderly, and in compliance with all regulations
- Lead summer staffing by hiring summer team, orienting them, and managing the summer coverage plan
- Support staff PTO approval process, coverage, and scheduling
Communication Tasks
- Daily updating of the staffing schedule, leave coverage, and other coverage via “Digital Whiteboard”
- Weekly full-staff communication updates, reminders, policy, etc via: “On the Radar”
- Quarterly Newsletters to Parent Community: “Charlotte Montessori Newsletter”
- As needed “Community Reminders/Updates” via our Constant Contact updates
Required Trainings (to be completed in first year):
- CPR/FA
- Playground safety training — and inspections
- Emergency Preparedness Response (EPR) training
- Administrative certificate (building operator credential, within set period after hire)
