Job Summary:
We are in need of an administrative assistant to help us standardize and streamline our day to day duties. The ideal candidate is someone who is looking for a part time position. This candidate should be organized, attentive to detail, a good communicator, and excited about being behind the scene in helping our dietitians, trainers and practice run well as a whole.
Where the job is performed:
This job is a part time remote position scheduled for 5-10 hours per week. The ideal candidate will reside in the Pacific Standard Time zone and will be able to devote time each day (Monday-Friday) during normal work hours on this job.

Duties and Responsibilities
- Answer inquiries and manage referrals
- Speak knowledgeably about the services we offer, our practitioners, our insurance coverage options and basics relating to billing, as well as scheduling
- Able to make clients feel heard and respected
- Manage client scheduling, ensuring clients are matched with an appropriate dietitian and that we have all necessary forms and information prior to their appointment
- Process incoming faxes and reach out to new referrals
- Track new inquiries to make sure they are followed up with appropriately
- Oversee tracking referral sources and sending of Thank You cards
- Process reports needed for payroll and maintain clinician productivity dashboards
- Collect self-pay session fees as well as late cancel/no show fees
- Assist with insurance credentialing, including maintaining credentialing applications and provider directories
- Monitor and audit as needed to ensure compliance with insurance requirements and practice policies
- Schedule and attend monthly team meetings
- Assist with hiring process and onboarding new practitioners
- Develop/adjust systems and procedures as needed to standardize practices
- Managing and assisting in content creation for social media and email marketing
- Other duties as assigned
Qualifications
- Must live in Pacific Standard Time zone
- Because the position is remote, you must have a dedicated, private workspace and a reliable high speed internet connection and reliable cell phone
- Previous customer service and administrative experience is necessary
- Previous experience in a medical office or private practice is strongly preferred
- Previous experience with content creation and management of marketing platforms is preferred
- Experience with Practice Better or similar Electronic Health Record Systems is helpful
Additional Information
The position is part time (5-10 hours per week). You will need to be able to devote time Monday through Friday during normal business hours (8am-5pm)
