Summary
The Administrative Assistant provides administrative support P&C, E&C, and Legal through the following tasks: manages administrative functions, assists with the preparation of various reports, and assists with special projects and events. This position will report to the Chief People Officer.
Job Duties and Responsibilities

Manages calendars for executive leaders

Hosts and supports visiting executives at the Houston office

Coordinates travel arrangements; completes expense reports and processes invoices

Prioritize conflicting needs; handle matters expeditiously & proactively; follow through on projects to successful completion often with time-sensitive pressures.

Support business and seek opportunities to drive innovation, efficiency, and reliability across the business while maintaining a high degree of confidentiality.

General administrative duties to include ordering office supplies, catering, conference room coordination, special projects, filling, and other ad hoc requests as needed.

TIMEKEEPER ROLE DUTIES – Run timecard approval report weekly (every Monday morning) for all hourly employees to determine timecards requiring approval.

TIMEKEEPER ROLE DUTIES – Reach out to managers with outstanding timecard approvals to complete by payroll processing deadline every Monday.

TIMEKEEPER ROLE DUTIES – Run timecard approval report a second time to determine timecards still requiring approval to meeting payroll processing deadline.

TIMEKEEPER ROLE DUTIES – Approve unapproved employee timecards on behalf of the manager to ensure timecard meets payroll processing deadline.

TIMEKEEPER ROLE DUTIES – Notify manager(s) of timecards approved on their behalf for manager determination if timecard corrections are required for next payroll processing.
- Build relationships with other assistants and employees throughout the organization that will enhance the success of the business.
- Coordinates company functions including training, team meetings and site visits.
- Maintains network files.
- Track team correspondence and follow-up as needed.
- Manage administrative requests and assist team with responses and follow up.

Exercises considerable judgment and discretion in handling requests for appointments and telephone calls.

Skills, Experience Required

High School Diploma or equivalent.
