Job Purpose:
Position manages a variety of highly responsible Human Resources and Accounting administrative duties. Must have the ability to exercise confidentiality, independent judgment, employ basic reasoning skills, and multi-task. Support to the Human Resources and Accounting management staff.
Duties:
Responsible for checking messages and emails; maintaining company records by filing and shredding; responding to general employee/customer questions; verifying and processing new employee onboarding; collating benefit packets; updating and adding new employees to database; issuing new employee credentials; inputting and processing accounts payable; bank statement reconciliation; directing incoming and outgoing mail; ordering office supplies; completing various projects for the management staff; and other tasks as assigned.

Administrative Support to Human Resources Manager and Controller

Welcome employees/customers/vendors by greeting them, in person or on the phone; answering or referring inquiries

Assists with delivering core HR processes like onboarding, terminations, status changes, timekeeping, benefits, and training

Compile and keep personnel records

Answer phones – assist with inquiries, forward calls as appropriate

Assists with bank reconciliation, accounts payable, monthly closings

Copies data and compiles records and reports

Completes routine data entry

Composes and types routine correspondence; makes copies and scans correspondence and printed materials

Organizes and maintains file system.

Office Supply Management and arranges for office equipment maintenance

Incoming/Outgoing Mail; including email and faxes

Other tasks and projects as assigned

Contributes to team effort by accomplishing related results as needed
Requirements:
1-2 Years Administrative Assistant/Human Resources/Accounting experience; Knowledge of HR & Accounting Principles and Procedures; Discretion; Confidentiality; Phone Etiquette; Excellent Customer Service; Positive Attitude; Attention to Detail; Organization; PC Proficiency; Microsoft Excel-Word Proficiency; Typing; Productivity; Dependability; Coachability; Good Communication, Active Learning, Active Listening, and Critical Thinking Skills; Spanish language proficiency preferred, but not required.
