Responsibilities
Technical
- Setup and review project contracts with budget and billing terms.
- Coordinate with PMs to ensure accurate and consistent billing and financial reporting.
- Obtain sub consultant contracts and their invoices based on % of completion.
- Provide invoices to clients and coordinate consultant invoices and payment per contract terms.
- Monthly review of project labor and reimbursable expenses with PMs for accuracy.
- Maintain organized project files, understand contract terms as they relate to fee management.
- Generate and mail out Customer Statements.
- Monitor Accounts Receivable and assist with proactive collection efforts.
- Post cash Receipts and prepare consultant cash disbursements.
- Update architectural billing projections and backlog report.
- Manage the whole financial aspect of the projects from inception to close out.
- Coordinate with project team to develop accurate cost to complete estimates & percent of complete evaluations.
- Track, monitor & report planned budgets/forecast vs. actual spend using project controlling tools/reports.
Administrative
- Exceptional organization skills
- Ability to manage multiple projects and deadlines.
- Strong analytical skills and ability to work independently.
Contract Management
- Drafting and revising project contracts with leadership team and client
- Ensuring the firm’s internal contract documents are accurate and well maintained.
- Providing advice and guidance to the different teams relating to contract generation
- Maintain excellent working relationships with clients to ensure their needs are met.
- Creating, preparing, reviewing, and editing all contracts
- Attend meetings to assess progress on projects which are in motion, and take detailed notes to share with stakeholders.
- Create regular status reports regarding progress on projects.
- Identifying opportunities to improve business processes and devise plans to implement these changes.
Skills
- Very proficient in Excel, Word, Adobe Acrobat and Outlook.
- Strong attention to detail.
- Prior experience with Deltek Vision or Semaphore software preferred.
- Working knowledge of General Ledger- Min 2 years.
- Construction accounting and Job Costing Experience.
- Accounting classes - Principles of Accounting
Education
Accounting or Business administration degree with a minimum of 3-5 years’ experience in a professional service environment.
Job Type: Full-time
Pay: $63,413.73 - $76,369.23 per year
