PM is seeking (2) entry to mid-level Construction Project Administrators to join our team at our Long Island Farmingdale location. Job hours are 7:30 am to 4:30 pm in person Monday to Friday. In Person Only!

Position Overview:
As a Construction Project Administrator, you will play a crucial role in supporting the successful delivery of construction projects by providing administrative coordination and oversight support across all phases of the project lifecycle.
Administrative Support: Project Administrators provide essential administrative assistance to project managers and field staff. This includes managing schedules, procurement, and subcontractor communication, coordinating meetings, and handling correspondence. In addition to project-specific tasks, Project Administrators perform general office duties such as answering phones, filing, organizing office supplies, and providing administrative support to the broader team as needed.

Document Management: They are responsible for maintaining accurate and up-to-date project documentation. This may include contracts, change orders, Requests for Information (RFIs), meeting minutes, permits, and other project-related documents.

- RFI's, Submittals, Transmittals, Permits, Meeting Minutes & Correspondence Logs
Project Coordination: Project Administrators assist in coordinating various project activities. This involves liaising with subcontractors, suppliers, and other stakeholders to ensure that tasks are completed on time and within budget.
- Produce AIA Contracts & various Construction Related Documents
Communication Facilitation: They facilitate communication between project stakeholders, including clients, architects, engineers, subcontractors, and internal team members. Effective communication is crucial for ensuring that everyone is aligned and informed about project progress and changes.
- Prepare and distribute project reports, meeting minutes, and correspondence.
Compliance Monitoring: Project Administrators help ensure that construction projects comply with relevant regulations, codes, safety standards, and quality requirements. They may assist in monitoring compliance throughout the project lifecycle.
- Subcontractor - verification of Insurance, Lien Waivers, Closeouts
- Sales & Client Setup; Insurance, Purchase Orders, Insurance Certificates
Bid and Proposal Assistance: They may assist in the preparation of bid packages, proposals, and qualification documents for new projects. This can involve compiling information, formatting documents, and ensuring that submissions are completed accurately and on time.

Financial Management: Project Administrators may support administrative managers in various financial tasks, such as project setup, billing, change estimates, and tracking expenses. They help maintain financial records and ensure that project budgets are adhered to.

Requirements:
- Minimum of 2 years of experience in administrative support in the construction industry.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively in a deadline-driven environment.
- Knowledge of construction terminology and processes is a plus.
- Bachelor's degree in business administration, construction management, or related field preferred.
- Must be good with technology; proficient in Microsoft Office, Word, Excel and Outlook. Sage A+ Notary A+.
- Individual must read, interpret and follow established procedures.
- Possess the ability to work independently and multi-task with accuracy in our fast-paced work environment.
