Job Description:
Support the Healthcare facility activities in the marketing, pre-admission, admission, discharge, and follow-up processes to ensure appropriate census/mix.
Duties include:
- Work cooperatively with the nursing department in the promotion of referrals and responses to inquiries regarding Walnut Hills health care programs.
- Develop and maintain relationships to advice referral sources of bed availability and new product and services.
- Make calls to outside the community to medical, insurance, legal, and financial professionals, and senior organizations, appropriate special interest groups, hospital discharge planners, and other community contacts.
- Respond to inquiries and conduct prospect interviews and tours with residents and/or their families in a timely, professional manner with appropriate follow-up.
- Maintain current database of existing and potential referral sources.
- Manage the admission process by maintaining updated bed availability and community services information at all times.
- Work with medical, nursing, and marketing team to ensure appropriate resident placement.
- Effectively manage occupancy levels and census/premium mix enhancement.
- Oversee the Healthcare admissions process, collecting information, and ensuring completion of necessary paperwork, assessments and notifications.
- Obtain admission authorization in collaboration with clinical team and establish appropriate placement for the resident, based upon payer source and medical needs.
- Communicate pertinent information to the resident/family and to the extended Healthcare leadership team.
- Frequent and ongoing contacts with hospital discharge planners and referring case managers via phone and online services regarding Walnut Hills bed availability and their patient’s potential care needs.
- Regular contact with Walnut Hills Resident Service Coordinators to maintain good relations and communication and help in determining needs of campus residents.
- Wait list management and follow up activities, including phone calls, filing of applications and maintaining an active immediate needs list.
- Facilitate Admissions Team communications and act upon their recommendations.
- Provide appropriate follow up with new residents and their families within the first week of admission.
- Develop data tracking mechanism and report conversion ratios.
- Assure pre-admission screening process, is completed for each resident to meet PASRR level 2 and LDC requirements. Assist staff in completing PASRR assessments online and maintain current PASRR census.
- Identify possible technology solutions/efficiencies related to the admission processes.
- Work with insurance companies to obtain benefits and pre-certification for residents.
- Provide basic information to residents and families regarding Medicare and Medicaid. Assist families as needed with online Medicaid application process.
- Conduct interviews with prospective residents and/or family members, give tours through the facilities and provide details regarding available services, financial options, costs, monthly fees and other pertinent information.
- Foster values of quality improvement and customer service in all facets of work.

- Internal marketing oversight
- Assist in planning and orchestrating special events, such as brunches, luncheons, open houses, town meetings, etc. for prospects, wait list persons and community groups as requested by the Executive Director.
Job Requirements/Qualifications:
- Bachelor's Degree preferred.
- Previous experience Long Term Admissions required
- Familiarity with Long Term Care issues & knowledge of Medicare/Medicaid procedures required.
Schedule:
- Monday thru Friday; 8:00 AM - 4:30PM
- Leader on duty weekend- once every quarter
