About the Role:
In this role, you will play a vital role in supporting our marine service department by ensuring accurate and efficient data entry, scheduling, and financial processes. You will be responsible for a variety of tasks, including:
- Data Entry: Accurately entering and updating data into our databases and systems related to the marine service department. This may include customer information, boat details (make, model, year, etc.), service appointments, parts inventory, or other relevant marine service data.
- Scheduling: Managing the service department's appointment calendar, scheduling service appointments for boats, technicians, and subcontractors, ensuring all parties are notified promptly.
- Data Quality Control: Performing regular data audits to identify and correct any errors or inconsistencies in marine service data.
- Communication: Communicating clearly and effectively with staff, clients, and subcontractors to confirm service appointments, answer questions related to scheduling, relay any customer inquiries to the appropriate technicians or subcontractors, and understand and potentially troubleshoot basic boating terminology used by clients.
- Reviewing Work Orders: Meticulously reviewing work orders for accuracy and completeness, ensuring all service details and parts used are documented correctly.
- Invoicing: Preparing and sending invoices to clients in a timely manner, ensuring accuracy and adherence to company policies.
- Collecting Payments: Processing customer payments for invoices, utilizing various methods (e.g., phone, credit card) and adhering to company protocols.
- Organization: Maintaining a clean and organized work area, both physical and digital, to ensure efficient workflow within the marine service department.
We are looking for a candidate with the following skills and experience:
- Strong attention to detail and accuracy
- Excellent typing skills and proficiency in data entry software (e.g., Microsoft Excel)
- Ability to prioritize and manage multiple tasks effectively, especially in a fast-paced marine service environment
- Time management skills and the ability to meet deadlines
- Excellent communication and interpersonal skills
- Proficient in scheduling software a plus
- Familiarity with basic marine terminology a plus
- Experience with processing financial transactions a plus

- Assisting with other administrative tasks within the marine service department
