Astrion has an exciting opportunity for a Administrative Assistant for the TMAS 2 Contract, supporting the 47 Cyberspace Test Squadron.

REQUIRED QUALIFICATIONS / SKILLS

Bachelor’s degree and 3 – 10 years of experience.

Ability to obtain/maintain a Top Secret clearance - S. Citizenship is required for all applicants.

Self-motivated, hard-working independent thinker that requires minimal supervision.

The ideal candidate is a customer-service oriented problem solver with the ability to work independently and as part of diverse teams.

Excellent people skills - able to work with teams of varying sizes, technical abilities, and levels of authority with both internal corporate staff and teammates. An ability to work with many personality types and style preferences at the same time and help provide a constructive work environment.

Exceptional oral and written communication skills, organizational, critical thinking and analysis, meeting facilitation, and interpersonal skills are essential.

Must be flexible in adapting to deadlines and changing priorities, has a pro-active attitude and a disciplined work ethic. A demonstrated flexibility of schedule and ability to handle last minute, short turnaround items. This includes an ability to quickly assess a situation or deliverable and then implement the most beneficial changes possible in the available time.

Must be comfortable handling a diverse range of simultaneous assignments while receiving direction from numerous customers.

Proficiency in Microsoft Office Suite, including Excel, Project, PowerPoint, SharePoint, and Word.

Proficiency setting up and operating video conferencing systems.

Must have the ability to communicate effectively both orally and in writing.

Proficiency in utilizing Task Management Tool (TMT), Military Personnel Data System (MilPDS), Base Level Service Delivery Model (BLSDM), Evaluations MyEval, and Decorations (MyDecs) within MyFSS.

RESPONSIBILITIES
-
Works with minimal supervision. Provides expertise in general clerical, secretarial, receptionist, word processing, filing and record keeping, and non-complex analysis.
- Ensure the senior leadership is kept informed of all issues of interest that relate to the branch operations.
- Monitor progress toward the accomplishment of various taskings and initiatives, manage branch-level suspense’s and deadlines.
- Assist in preparing for division-level events.
- Draft documents for materiel lead (ML) and staff approval.
- Maintain schedules and manage travel for division leadership.

Prepare background information and invite required meeting participants, ensuring documentation of the meetings are filed in accordance with organizational policies.

Prepares agendas and plans for meetings (e.g., booking meeting space, arranging conference lines).
-
Prepare meeting documentation, including attendance logs, minutes, and/or action items as applicable.
- Process evaluations (MyEval), and decorations (MyDecs) within MyFSS.

Maintain official file plans and documents as division Records Custodian.
- Assist in-processing and out-processing of military, civilian and contractor personnel assigned to the division.

Support division leadership in administering quarterly and annual recognition programs.

Performs administrative and management support services for a wide range of office functions.

Assist in managing office supplies by preparing orders, submitting for approval and purchase, and conducting inventories of existing office supplies.
- Provides administrative support in the management of personnel, financial, operations and technical programs. Position requires substantial coordination and interfacing with other offices.

Serves as primary office contact for the organization, interacting with squadron customers, other organizations, and external lines of business on a day-to-day basis.

Supports all aspects of program/project management involves planning, developing, organizing, coordinating, and conducting organizational activities to ensure squadron policies, processes, and program elements are integrated and documented.
- Draft request Direct Hire Actions (DHA), Personnel Action (RPA), and Draft Positions Description (PD) Classification packages actions packages, retrieve pertaining documents required from prospective candidate and submit to supervisor for review/approval/submittal of complete package.
