SUMMARY
The Executive Administrative Assistant will provide high-level support to the executive team. The ideal candidate should possess excellent administrative skills, including proficiency in minute-taking during meetings, be self-regulating, possess both reliability and consistency, ability to learn and problem-solve well, and have excellent organizational skills.
ESSENTIAL DUTIES
- Provide administrative support to executive team members
- Prepare agendas and materials for meetings, ensuring all necessary documents are distributed in a timely manner.
- Attend meetings and accurately record minutes, capturing important discussion points, decisions, and action items.
- Transcribe and distribute meeting minutes promptly, ensuring all stakeholders have access to relevant information.
- Assist in the preparation of presentations, reports, and other documents as needed.
- Coordinate communication between executive team members and internal/external stakeholders.
- Handle confidential information with discretion and professionalism.
- Perform general office duties such as answering phones, responding to emails, and maintaining office supplies.
- Helps in the coordination and support of the Bank’s audits and examinations.
- Maintains a proficient knowledge of all applicable banking laws, rules, and regulations.
- Create and modify documents (primarily policies and procedures) using the Microsoft Office suite.
- Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing.
- Coordinate meetings and training sessions.
- Sort, screen, review and distribute incoming and outgoing mail to the respective areas.
- Assists in special projects and tasks for the department as directed.

- Bachelor’s degree or at least four years of experience supporting C-Level Executives.

- Self-starter and capable of working independently with minimal supervision and guidance.
- Ability to support multiple team members in a variety of tasks and deliver quality products timely.
