The Administrative Coordinator II position is in the Facilities Engineering Division of the Fred Hutchinson Cancer Center. This position provides support to the Administrative Manager and Administrative Assistant for the Engineering shift schedule, requisitions, campus maintenance walks, and special projects. This position serves as a backup to the Administrative Assistant.

Coordinator Responsibilities:

Facilities Engineering Administrative Support: Serve as backup to Admin. Asst. for Schedule coverage and maintenance. When required, ensure all shifts have adequate coverage and email Operating Engineers for coverage as needed. In October, alongside Admin. Assistant, create new Schedule for subsequent year, including finding coverage for all holidays and shift coverage for weekend rotations. Familiarize yourself with Union Contract requirements for hours worked, overtime, etc. Report any discrepancies to the Administrative Manager for review. Assist with creating and submitting requisitions when requested.

Campus Maintenance and Beautification: On a monthly basis walk various areas of campus to identify locations that need attention for campus beautification. Identify areas either outside or inside the buildings that need either Engineering or vendor attention (window washing, improper lighting, painting, carpet repair, etc.). For the Clinics, work alongside the Compliance Manager for pre-Environment Of Care walks to identify potential areas that need attention. Once identified work with Administrative Manager to determine next steps.

Special Projects Coordination: Admin. Manager will work with Supervisors and Leads to identify projects and/or work order requests that will need more information. Once identified, assist Supervisors and Leads on obtaining project information. Coordinate with vendors and various Hutch employees/departments for onsite work that may affect daily operations. Includes but is not limited to communication on logistics, signage, email notifications, access, etc. Assist Planner/Schedulers with special projects such as annual shutdowns and specialized shutdowns.
Administrative Responsibilities:

Answer phones and dispatch OEs as necessary from 7:00 AM-8:30 AM.

Assist in creating SOPs for Engineering department as needed. This will be at the request of the Admin. Manager when Supervisor requires assistance.

Qualifications:
MINIMUM QUALIFICATIONS:

Requires High School/GED and six years of administrative or relevant experience OR equivalent education/experience.
PREFERRED QUALIFICATIONS:

Valid Washington State driver’s license or ID or the ability to obtain one.

Good people skills and ability to communicate clearly both verbally and in writing. Individual must be detail oriented.

Ability to represent the Department at high levels across Fred Hutch.

Strong computer skills; proficiency in Microsoft Office.

The hourly pay range for this position is from $30.30 to $45.43 and pay offered will be based on experience and qualifications.
