Job Description: Remote Full Charge Bookkeeper and Office Manager
We are seeking a positive, proactive, and team-oriented Full Charge Bookkeeper and Office Manager to oversee the accounting operations and administration of our multi-entity real estate development company. The ideal candidate exhibits a professional demeanor, a willingness to learn, and is dedicated to execution and follow-through. We are looking for someone who can work independently, efficiently manage time and energy, and effectively prioritize multiple tasks and deadlines. This role demands flexibility, personal accountability, and exceptional communication skills. The Full Charge Bookkeeper/Office Manager will serve as the sole accounting and administration support for our small team. This is a remote position; the candidate must be willing to attend weekly Zoom meetings for staff updates and meet quarterly in person or as needed.
Roles and Responsibilities include but not limited to:
Office Manager
- Scheduling & Calendar Management: Manage calendars for three executives, prioritizing productivity.
- Minutes, Reports, and Presentations: Compile data for projects, reports, and presentations; draft detailed meeting notes and distribute minutes; follow up on action items.
- Communication: Engage with external partners and clients on behalf of the CEO and COO; prepare sensitive and confidential correspondence.
- File Management: Organize documents in the cloud for easy access.
- Contract, Contact, Corporate Records, and Insurance Administration.
- Contract Administration Support for Development Manager.
- Assistance with Project Construction or Development Follow-up.
- Prepare Packages and Files for Development or Investment Projects.
- Direct Support to President, Vice President, Controller, and Development Manager.
- Regular Correspondence with Vendors, Consultants, Management Companies, and Banks.
- Other Special Projects as Required.
Full Charge Bookkeeper
- Financial and Accounting Stewardship: Maintain financial integrity and collaborate with management to grow businesses.
- Reconciliation: Ensure accuracy of bank statements, credit card statements, loan statements, and intercompany balances.
- Monthly Financial Statements: Prepare statements for 20+ entities.
- Construction Draw Processing.
- Budget Preparation and Maintenance: Assist Project Managers with budget updates and cost accounting.
- Accounts Payable Processing.
- Dashboard Maintenance: Manage cash flow, debt, and equity projections, offering actionable insights.
- Payroll Processing: Use third-party vendor for payroll.
- Annual Income Tax Workbook Preparation: Coordinate with CPA firm for tax preparation
- Correspondence with Banks, Consultants, Vendors, and Management Companies.
- Special Projects as Needed.
Skills, Qualifications, and Education Requirements:
- 4-7 years related accounting experience required or B.S. or B.A. in Accounting (preferred)
- Must pass credit, criminal, and behavioral background checks.
- This position requires availability from 8:00 AM to 5:00 PM, Monday to Friday
Experience:
- Office Management: 5 years (preferred).
- Office Administration: 5 years (preferred).
- Construction and/or Real Estate Development Accounting: 4 years (preferred).
- Excel and Financial Modeling: 4 years (preferred).
- Sage Intacct: 2 years (preferred).
- Multi-Company Accounting: 4 years (preferred).
- MS Office: 4 years (preferred).
- QuickBooks: 3 years (preferred).
