Project Coordinator – F/T (Santa Rosa)
Mike Chavez Painting INC is an established painting contractor providing painting services in the North Bay. We have been in business for over 14 years and have a fast-growing base of clients. We are seeking an experienced Project Coordinator for a full-time position of 40 hours weekly for the uniquely qualified candidate who is:

Requirements/Skills
➢ Good Communication, first and last communication with all customers.
➢ Provide support to Project Manager, Estimator, and President with direct communication and follow up on existing and past clients.
➢ Provide support for marketing activities for the company
➢ Accounting- Help generate job cost reports and cash flow reports by accurately tracking hours, materials, and invoices for all projects.
➢ Expertise in MS Office, including Excel, Word, Power Point, (some) Publisher, Outlook, Gmail,
Internet research
➢ Experience with on-line data entry Dropbox, One Drive, Google Calendar
➢ Experience as a Project Coordinator highly desirable
➢ Follow SOPs within the business for consistency and execution of tasks
Daily tasks:
Primary responsibility is to build a positive and trusted relationship with all current clients of the business. A client concierge type of service that provides a smooth and positive customer experience from beginning to end. This position is also a main line support to Project manager and in field workers by organizing schedule and creating "Job Scope" for work sold that clearly defines project guidelines for a successful completion.
- First communication with customer after sign of contract and last communication with customer following job completion.
- Strategically scheduling all projects with Project Manager and providing updates on estimated then firm start dates.
- Provide clients with knowledge and advice on how to prepare for their painting project
- Work with clients and intake forms to provide samples if needed and confirm colors prior to project start.
- Work with clients and intake forms to confirm project scope and confirm prior to project start.
- Prepare accurate job scopes for all contracted work that outlines project details to production crews.
- Handle and organize all client communications via email, phone, and text.
- Process/request various job specific insurance documents and requirements through broker and insurance agent.
- Process and pull any job specific permits through city in which project is being done.
- Communicate job progress consistently to Office Manager throughout project for progress invoicing and completion invoicing.
- Track hours and materials consistently for all large projects for easy organization and job costing at project completion.
- Closeout project when complete by providing any documentation to customers and sending thank you card.
- Understand billing terms of all General Contractors.
- Understand the marketing requirements for the business and provide support activities
- Manage billing and relationships with all 3rd party vendors
- Remain flexible as job tasks evolve and grow with the position of Project Coordinator
Compensation: $25-$35 Per Hour, Kaiser Medical, Simple IRA Matched Retirement, Holiday/Vacation Pay
